Executive Personal Assistant Position Overview We are seeking a highly organized, discreet, and resourceful Executive Personal Assistant to support two Co-Managing Partners across a portfolio of three businesses, consulting work, and speaking engagements.
This is a dual-scope role:
on the executive side, you'll manage complex calendars, travel, and business logistics; on the personal side, you'll oversee the day-to-day management of one partner's five residences — including vendor coordination, maintenance, deliveries, and guest preparation. The ideal candidate is equally comfortable running an executive's calendar and running a household and brings the discretion and judgment both require.

Flourtown, PA or New Orleans, LA (remote possibility). Travel required. Key Responsibilities Executive Support Coordinate and manage complex, ever-changing calendars for two Co-Managing Partners across three businesses, consulting work, and speaking engagements Schedule and organize meetings, calls, and events; prepare agendas, materials, and follow-up items as needed Serve as a gatekeeper and point of contact, prioritizing and triaging requests across multiple business lines Coordinate logistics for meetings, speaking engagements and consulting commitments, including travel, materials, and scheduling Manage and reconcile business expenses, prepare expense reports, and track receipts in a timely manner Anticipate scheduling conflicts and proactively resolve them across the partners' multiple commitments Travel Logistics (Business & Personal) Book and manage all travel arrangements, including flights, car rentals, hotels, and restaurant/venue reservations Develop detailed travel itineraries accounting for multiple cities, time zones, and overlapping commitments Monitor travel for delays, cancellations, or changes and proactively adjust plans Coordinate personal travel logistics separately from business travel, including family or leisure trips Residence & Personal Life Management Oversee the management of one partner's five residences, including coordinating maintenance, staff, and service providers; maintain vendor contact lists and service schedules Manage deliveries and shipments across residences, ensuring timely and accurate coordination Schedule and track car maintenance and servicing Prepare residences for guest arrivals, including coordinating housekeeping, stocking, and any special requests Plan and coordinate entertaining and events at residences, including vendor coordination (catering, rentals, etc.) Manage personal reservations and appointments (dining, events, medical, dental, fitness, etc.) Source, purchase, and coordinate gifts for personal and professional occasions, including special occasions such as birthdays, anniversaries, and holidays Pay household bills, track recurring payments, and support household budgeting as needed Organize and maintain personal documents and records (insurance, warranties, passports, etc.) Serve as point of contact for smart home, security systems, or IT support at residences Support personal shopping needs and household supplies Coordinate pet care logistics (vet appointments, walkers, boarding), as applicable Maintain availability for urgent or time-sensitive issues outside standard business hours General Administrative Support Maintain organized systems for tracking tasks, deadlines, and commitments across both partners Handle confidential and sensitive information with the utmost discretion Communicate professionally on behalf of the partners with internal teams, clients, vendors, and household staff Support ad hoc projects and special requests as they arise Qualifications 5+ years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives or high-net-worth individuals Experience supporting multiple principals and/or multiple business entities preferred Prior experience with household/residence management or estate coordination strongly preferred Exceptional organizational skills with the ability to manage competing priorities across business and personal spheres Strong written and verbal communication skills High degree of discretion, professionalism, and sound judgment when handling confidential matters; willingness to sign a confidentiality/non-disclosure agreement Comfortable working in a fast-paced, dynamic environment with frequent schedule changes Proficiency with calendar and expense management tools (e.g., Microsoft Outlook/365, or similar) Willingness to be accessible outside standard business hours as needed Valid driver's license; ability to travel as required Work Environment Based in Flourtown, PA or surrounding area or New Orleans, LA, with the possibility of remote work. Travel required This role may require flexibility in hours, including evenings, weekends, and urgent off-hours needs, based on the partners' schedules and events A combination of remote, in-office, and on-site (residences) work may be expected depending on location and need
