Executive Operations & Systems Assistant AirWell Texas Pflugerville, TX Job Details Part-time $25 - $35 an hour 3 hours ago Qualifications Research Full Job Description AirWell Texas is looking for an unusually capable, organized, tech-savvy person to work directly alongside the owner and help turn ideas, projects, and operational needs into completed work. This is not a traditional administrative assistant position . It is a hybrid role combining elements of: Executive assistance Operations and project management CRM and workflow implementation Business systems building Marketing and business-development support Process documentation Research and problem-solving Day-to-day accountability and execution support The right person will essentially become the owner's operational right hand . Some days you'll be building a workflow in GoHighLevel. Another day you may be documenting a new company process, researching a solution, preparing materials for physician outreach, following up on projects, troubleshooting an operational problem, or accompanying the owner to business-development meetings.

Help turn ideas and priorities into organized systems, actions, and completed projects. About AirWell AirWell Texas is an indoor environmental consulting company specializing in mold and indoor air quality assessments. We work extensively with homeowners, physicians and other health professionals, remediation contractors, HVAC professionals, laboratories, and other industry partners. We are actively improving and scaling our operational systems, client experience, marketing, referral relationships, automation, and use of AI. That creates a unique opportunity for someone who enjoys building things rather than simply maintaining an already-finished system. What You'll DoExecutive & Execution Support You'll work directly with the owner to: Establish daily and weekly priorities Break larger ideas and projects into actionable next steps Keep important projects moving Capture ideas, decisions, and follow-up items during working sessions Track commitments and deadlines Identify things that are falling through the cracks Follow up with employees, contractors, vendors, and partners when appropriate Help organize information and reduce administrative friction Create structure around projects that currently live in conversations, notes, emails, and someone's head An important part of this position is simply working alongside the owner while both people get things done . You should be comfortable saying things like: "We said this was today's priority. Let's finish it before we move to the next thing." The ideal candidate provides structure without needing to be micromanaged. Systems, Automation & GoHighLevel A major part of the role will involve helping build and maintain AirWell's operational systems.
Projects may include:
Building and improving GoHighLevel pipelines Creating workflows and automations Designing follow-up sequences Improving lead tracking Automating client agreements and intake Improving credit-card-on-file and payment processes Creating automated client communications Building internal notifications and escalation systems Testing workflows and identifying problems Working with outside developers/consultants when necessary Documenting systems so the company is never dependent on one person knowing how something works You do not need to already be a GoHighLevel expert , but you should be technically confident and genuinely enjoy figuring software out. Experience with GoHighLevel, Zapier, Make, CRMs, workflow automation, APIs, AI tools, or similar platforms is a significant plus. Operations & Process Improvement You'll help examine how AirWell currently operates and continually ask: "How can we make this simpler, more reliable, and less dependent on someone remembering to do it?" Examples might include: Creating SOPs and checklists Improving handoffs between team members Building quality-control processes Tracking recurring responsibilities Improving assessment and report workflows Organizing SharePoint and company files Helping improve laboratory and chain-of-custody processes Monitoring whether required steps are actually being completed Creating dashboards or accountability systems Researching software and operational solutions Identifying opportunities to automate repetitive work You won't just be handed procedures to follow. You'll help create the procedures. AI & Technology Projects AirWell is actively incorporating AI into its operations. You'll help coordinate and improve projects involving: AI-assisted report generation Field data collection Automated workflows Quality-control systems Internal knowledge and documentation AI agents and other emerging tools You don't need to be a programmer. You do need to be the kind of person who gets excited about learning what technology can do and then figuring out how to put it to practical use. Marketing & Business Development Support You'll also help execute AirWell's relationship-based marketing strategy.
This may include:
Researching physicians and other referral partners Organizing outreach lists Preparing outreach materials Tracking follow-ups Managing CRM campaigns Coordinating meetings and presentations Helping prepare lunch-and-learns Supporting social media and content projects Helping coordinate podcast/video projects Following up after meetings Tracking referral relationships At times, you'll accompany the owner to appropriate physician offices, HVAC/remediation partners, networking opportunities, vendor meetings, or other business-development activities. This isn't a position where you'll sit at a desk waiting for assignments all day. What We're Looking For The strongest candidate will probably describe themselves as some combination of: organized + resourceful + tech-savvy + proactive + curious You don't need to know everything. You need to be very good at figuring things out . You may be a great fit if: You naturally organize messy situations You like creating systems You enjoy technology and automation You're comfortable learning unfamiliar software You're good at researching answers independently You notice details other people miss You're comfortable reminding someone about priorities and commitments You enjoy working collaboratively You can also disappear into a project and work independently for several hours You communicate clearly You document what you build You don't need every assignment explained step-by-step You enjoy improving processes rather than saying, "That's how we've always done it" You can move comfortably between strategic thinking and mundane execution Most importantly, you should be someone who finishes things . This Position Probably Isn't For You If... You need a highly structured corporate environment where every responsibility is already defined. This role will evolve. There will occasionally be ambiguity, changing priorities, half-formed ideas, and problems that don't have obvious answers. You should be energized—not paralyzed—by hearing: "Here's what we're trying to accomplish. Help me figure out the best way to do it." This also isn't a good fit for someone who wants to spend the entire day waiting for the owner to provide the next task. You'll have your own project list and responsibilities, and you'll be expected to keep moving independently. Work Environment This is intended to be a primarily in-person position in the Austin/Pflugerville area . Initially, we'll likely work together from the owner's home workspace and occasionally from other locations. The environment is comfortable and informal, and there may occasionally be normal household interruptions. As the position develops, we may establish a dedicated office or coworking arrangement. Some work may also happen while visiting business partners, physician offices, vendors, or other locations around Austin. Because working side-by-side is an important part of this particular role, this is not intended to be a fully remote position. A Typical Day Might Look Like... We start by spending 15-20 minutes deciding what absolutely needs to happen that day. You then spend an hour building and testing a GoHighLevel workflow while the owner works nearby. We discover a problem with an internal process. You document the issue, research possible solutions, and create a task to implement the best one. Later, we drive to a physician's office for a referral-development meeting. You take notes, capture follow-up items, and make sure those items actually happen afterward. Back at the workspace, you update the CRM, follow up with a contractor working on an automation project, document a new SOP, and check the status of several ongoing projects. Before finishing for the day, we spend 10 minutes reviewing: What did we finish? What's still open? What's the priority tomorrow? Experience There isn't one perfect resume for this position.

We're looking for someone with the aptitude and curiosity to learn. What Success Looks Like After several months, the owner should be spending substantially less time: Remembering what needs to happen Chasing unfinished projects Building administrative systems Troubleshooting routine operational problems Manually performing tasks that should be automated Keeping track of follow-ups Translating ideas into implementation And spending substantially more time on: Clients Referral relationships Business development Leadership Technical expertise Strategy Growing AirWell Meanwhile, you will have developed meaningful ownership over AirWell's systems and operational infrastructure. The Person We're Hoping to Find We're looking for someone who eventually becomes the person the owner can turn to and say: "Here's what I'm trying to accomplish." And instead of needing a detailed set of instructions, your response is: "Got it. I'll figure out how we get there." If building systems, solving problems, learning new technology, and helping an entrepreneurial small business become dramatically more organized sounds satisfying to you, we'd like to hear from you.
