Description We are looking for an experienced Executive Assistant to support senior leadership in Virginia Beach, Virginia. This role is ideal for someone who thrives in a high-visibility setting, exercises sound judgment, and stays composed while balancing shifting demands. The position calls for a resourceful individual who can keep executive operations running smoothly, manage sensitive matters with care, and build strong working relationships across internal and external teams.
Responsibilities:
- Provide strategic administrative support to senior executives, ensuring daily operations are organized, efficient, and aligned with leadership priorities.
- Oversee a demanding executive schedule by arranging meetings, adjusting appointments, and responding quickly to changing business needs.
- Organize domestic and international travel plans, including itineraries, lodging, transportation, and other trip-related arrangements.
- Coordinate meetings with leadership, clients, partners, and cross-functional stakeholders, while preparing the logistics and materials needed for productive discussions.
- Anticipate scheduling challenges, resolve calendar conflicts proactively, and help leaders stay focused on critical priorities.
- Draft, format, and prepare executive communications, reports, presentations, and meeting documents with a high level of accuracy and professionalism.
- Act as a key point of contact between executive leadership and internal or external partners, helping to maintain clear and effective communication.
- Support additional senior leaders when needed and contribute to the planning and execution of company meetings, leadership sessions, and employee events.
- Manage vendors, venues, travel coordination, accommodations, and related event details to ensure corporate functions run seamlessly.
- Handle multiple assignments independently, maintain confidentiality at all times, and deliver high-quality work within tight deadlines. Requirements
- At least 5 years of experience in an Executive Assistant or senior-level administrative support role.
- Background supporting a President, C-suite executive, or other senior leader is required
- Proven ability to manage complex calendars, coordinate meetings, and arrange detailed travel plans.
- Experience controlling executive access and serving as a trusted gatekeeper for senior leadership.
- Prior involvement in planning corporate meetings, business events, or leadership gatherings.
- Strong communication skills, with the ability to prepare clear correspondence and interact effectively with high-level stakeholders.
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Associate's degree required; Bachelor's degree preferred.
