Potential Performance Increase:
5% every 6 months, based on satisfactory performance and company discretion. Increases are not guaranteed. We are looking for a highly organized, dependable, proactive Operations & Executive Assistant to support the day-to-day operations of our two growing businesses: a general contracting/remodeling company and a home staging and design company. This role is ideal for someone who enjoys managing multiple priorities, solving problems, communicating with clients and vendors, and helping business owners stay organized and ahead of deadlines. This is not a position for someone who prefers to wait for a detailed list of instructions every day. We are looking for someone who can learn how our businesses operate, anticipate what needs attention, follow through, and help make sure important tasks do not fall through the cracks. Responsibilities Responsibilities will vary from day to day and may include: Managing calendars, appointments, project schedules, staging dates, move-ins, move-outs, site visits, and meetings. Following up with clients, Realtors, vendors, subcontractors, designers, and team members. Preparing and updating estimates, staging proposals, agreements, invoices, and business documents. Updating Canva templates for estimates, proposals, marketing materials, and client documents. Tracking deposits, outstanding invoices, staging renewals, upcoming payments, and client follow-ups. Organizing receipts, expenses, statements, invoices, and bookkeeping documentation. Maintaining project folders and making sure contracts, photos, selections, change orders, and other documents are properly organized. Ordering construction materials, furniture, supplies, fixtures, and other items. Tracking orders, deliveries, returns, backorders, and vendor issues. Communicating scheduling updates to clients and team members. Coordinating staging inventory, designers, movers, trucks, installations, and removals. Assisting with construction project organization and tracking outstanding project items. Creating and maintaining spreadsheets, trackers, and internal systems. Drafting professional emails and client communications. Helping with social media and marketing coordination when needed. Uploading and organizing jobsite photos and videos. Researching products, materials, vendors, pricing, properties, and other business needs. Running occasional business-related errands. Assisting the owners with miscellaneous operational and administrative tasks as needed. What We're Looking For The ideal candidate is: Extremely organized Detail-oriented and good at catching mistakes Proactive and able to take initiative Dependable and consistent Comfortable managing several priorities at once Able to work independently after receiving proper direction Professional and confident when communicating with clients Strong in written and verbal communication Comfortable working in a fast-paced small-business environment Good with basic numbers and calculations Comfortable learning new technology and systems Able to create systems and reminders so follow-ups do not get forgotten Flexible and comfortable with responsibilities changing from day to day We especially value someone who can eventually become a trusted right hand to the owners and reduce the amount of daily follow-up and coordination they personally need to handle. We are looking for someone who will eventually be able to say: "I already followed up with them, updated the schedule, sent the document, and here are the remaining items that need your attention." Preferred Experience Experience with any of the following is preferred: Google Workspace , Gmail, Outlook Calendar, Excel, Google Sheets, Canva QuickBooks DocuSign, Dropbox , Google Drive, Social Media Platforms Experience in any of the following industries is a plus, but not required: Construction Remodeling Real Estate Home Staging Interior Design Property Management Office Management Operations We are willing to train the right person who demonstrates strong organization, initiative, professionalism, and the ability to learn quickly. Compensation & Growth The starting salary for this position is $58,000 per year . Employees may be considered for a 5% salary increase every six months based on satisfactory job performance, reliability, continued growth in the role, company needs, and management discretion. A 5% increase is not automatic or guaranteed.
