QUALIFICATIONS/ABILITIES
  • A high school diploma or the equivalent in relevant work experience is required.
  • Experience in a professional business environment preferred.
  • Exhibit both an aptitude and desire to continue learning new things.
  • Exhibit a true team player attitude: personable, flexible, high level of integrity, professionalism, and discretion.
  • Knowledge of Microsoft Office 365 tools such as (Outlook, Word, Excel, PowerPoint, and Teams) preferred.
  • Proven effective organizational skills with strong attention to detail.
  • Ability to manage time through multi-tasking.
  • Entail strong written and verbal communications.
  • High levels of personal accountability; an ability to be responsible for your own actions.
  • Strong critical thinking and problem-solving skills; an ability to assimilate knowledge, and then take appropriate action.
  • Experience supporting board-level activities on executive leadership teams.
RESPONSIBILITIES - HOW THIS POSITION SUPPORTS THE VISION
include the following, but are not limited to:
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Manage all CEO communications, prioritizing email emails, phone calls, and correspondence.
  • Draft, review, and edit executive-level communications, presentations, and reports.
  • Represent the CEO professionally and confidently in interactions with executives, board members, and partners.
  • Proactively manage the CEO's complex calendar, including strategic prioritization of meetings.
  • Coordinate and prepare materials for executive leadership meetings, board meetings, and key external engagements.
  • Arrange all aspects of domestic and international travel, including itineraries, accommodations, and logistics.
  • Ensure CEO is fully prepared for meetings with agendas, background materials, and briefing notes.
  • Support special projects and strategic initiatives assigned by the CEO.
  • Track action items, commitments, and follow-ups from executive meetings.
  • Partner with senior leaders to ensure alignment on priorities, deadlines, and deliverables.
  • Assist in planning and execution of executive off-sites, leadership0 meetings, and corporate events.
  • Handle highly sensitive and confidential information with absolute discretion.
  • Exercise sound judgement when managing executive matters and setting priorities.
  • Anticipate potential issues and proactively resolve or escalate as appropriate.
  • Establish and maintain efficient systems, processes, and workflows for executive operations.
  • Identify opportunities to improve effectiveness, communication, and time management for the CEO.
  • Maintain organized records, files, and documentation for easy access and reference.
INDICATORS OF PERFORMANCE
  • Number of last-minute calendar conflicts or reactive reschedules.
  • % of meetings with agendas/materials prepared ≥24 hours in advance.
  • % of meetings with briefing notes for high-stakes or external engagements.
  • Number of meetings requiring follow-up due to missing preparation.
  • % of action items completed or escalated by agreed deadlines.
  • Reduction in dropped or forgotten follow-ups over time.
  • Average response time to priority internal/external communications.
  • Qualitative feedback from Board members, ELT, or key partners (360 feedback Survey Results).
  • Percentage of communications triaged correctly without CEO rework.
IMPROVING THE SYSTEM
All Fait Distribution Associates are responsible for documenting and fixing problems within the system. In addition, this role is responsible for improvement project participation, planning, communicating and implementing solutions where possible.
PERSONAL IMPROVEMENT
Fait Distribution will provide resources and support, relevant to the position, for education and training as needed. It is the Associate's responsibility to seek approval, schedule and participate in education and/or training that will prepare him/her for present and future needs. A post training recap may be required.
