File Clerk We are looking for a detail-oriented, proactive, and professional File Clerk with at least 2+ years of file clerk or administrative experience to join our team. Legal experience is preferred but not required. The ideal candidate is highly organized, dependable, and comfortable working in a fast-paced office environment. This person will be responsible for maintaining and organizing files, assisting attorneys and paralegals with administrative needs, and providing general office support. The position will also be trained on our phone system and will provide reception coverage during breaks, lunch, PTO, and other times as needed . This is a full-time, in-office position, Monday through Friday, 9:15 AM-5:15 PM . Candidates must be available to work on-site five days a week. Key Responsibilities File Management Pick up, organize, and pull files for the Calendar Department, attorneys, and paralegals. Maintain accurate and organized physical and electronic filing systems. Sort, label, and properly file documents and correspondence. Assist with locating and retrieving files as requested. Ensure files are maintained accurately and efficiently. E-Filing & Document Management Assist with preparing and e-filing documents through ProLaw and other applicable systems. Ensure documents are complete, accurate, properly organized, and filed in a timely manner. Assist with scanning, copying, faxing, and uploading documents as needed. Familiarity with ProLaw or similar legal document management systems is a plus. Mail & Office Support Sort, stamp, distribute, and deliver incoming and outgoing mail. Assist with daily administrative and clerical tasks throughout the office. Provide general support to attorneys, paralegals, and other departments as needed. Take on additional office tasks and projects as requested. Reception & Phone Coverage Receive training on the firm's phone system and procedures. Provide backup reception coverage during breaks, lunch periods, PTO, and other times when coverage is needed. Answer and direct incoming calls in a professional and courteous manner. Assist with basic reception and front-desk responsibilities as needed. Banking & Errands Occasionally leave the office early to hand-deliver checks to a nearby bank. Complete occasional local errands and other tasks as needed to support the day-to-day operations of the office. Physical Requirements Regularly stand, walk, bend, reach, push, pull, lift, and carry files and boxes. Ability to lift and carry up to 100 lbs. as part of regular file management duties. Ability to remain active and on your feet for extended periods throughout the workday. Qualifications 2+ years of experience in a file clerk, records, legal support, or administrative role. Legal office experience is preferred but not required. Familiarity with e-filing and legal document management systems is a plus. Strong organizational skills and excellent attention to detail. Ability to prioritize and multitask in a busy office environment. Strong written and verbal communication skills. Professional, dependable, and reliable. Positive, can-do attitude and willingness to help wherever needed. Ability to follow instructions and work independently. Comfortable handling confidential documents and information. Professional demeanor and ability to interact courteously with attorneys, staff, clients, and visitors. Must be available to work Monday through Friday, 9:15 AM-5:15 PM, fully on-site .
