Job Description

Job Overview We are seeking a highly skilled and detail-oriented Experienced Real Estate Closing Secretary to join our legal team. This pivotal role involves managing the administrative and procedural aspects of real estate closings, ensuring all documentation is accurate, compliant, and efficiently processed. The ideal candidate will possess extensive legal support experience, particularly in real estate transactions, and demonstrate exceptional organizational and communication skills. This position offers an opportunity to contribute to smooth transaction workflows while supporting clients and attorneys through meticulous document management and procedural expertise. Responsibilities Coordinate all aspects of real estate closings, including preparing, reviewing, and organizing closing documents such as deeds, titles, affidavits, and settlement statements. Manage communication with clients, lenders, title companies, and other stakeholders to facilitate timely closing processes. Ensure compliance with legal requirements related to property transfers, escrow procedures, and recording statutes. Utilize legal case management systems and document management platforms such as iManage to maintain accurate records. Conduct thorough document review for accuracy, completeness, and adherence to procedural law standards. Assist attorneys with legal research related to property law, zoning regulations, environmental considerations, and other relevant legal areas. Prepare drafts of legal correspondence, contracts, and other documents with precision and clarity. Handle confidential information with discretion while maintaining organized filing systems. Support project management efforts for complex transactions involving multiple parties or legal jurisdictions. Proofread and transcribe legal documents to ensure clarity and correctness. Maintain proficiency in legal research tools such as LexisNexis and Westlaw to support case preparation. Requirements Proven paralegal or legal administrative experience specializing in real estate law or related fields such as estate planning or land use. Extensive knowledge of procedural law governing real estate transactions and closings. Familiarity with UCC law (Uniform Commercial Code), PCLaw software, and document management systems like iManage. Strong understanding of environmental law, landlord-tenant law, family law, securities law, tribal law & regulations, patent law, workers' compensation law, personal injury law, civil litigation support, and general & commercial litigation is a plus. Proficiency in Microsoft Office Suite (Word, Excel), LexisNexis, Westlaw for legal research purposes. Excellent organizational skills with the ability to manage multiple projects simultaneously under tight deadlines. Effective communication skills for client interaction and team collaboration. Experience handling confidential information with integrity. Strong proofreading, transcription skills, and attention to detail in drafting legal documents. Ability to adapt quickly to new procedures and technological tools used within a busy law office environment.
