Established Law Firm seeking an advanced computer-skilled, highly organized, and detail-oriented Paralegal / Legal Secretary to join our team for a long-term position. This long-term position offers the opportunity to play an integral role in the daily operations of the Firm while working closely with Attorneys, Clients, and Business Professionals.

This is a fast-paced, hands-on position that combines substantive paralegal responsibilities with legal secretary experience. The successful candidate must be comfortable transitioning between legal assignments and administrative responsibilities throughout the workday and managing multiple assignments, deadlines, and priorities at the same time. Advanced computer skills are essential for this position. Our practice is technology-driven, and Microsoft Office and Adobe Acrobat are fundamental to our daily operations. Candidates must have highly proficient computer skills, ability to learn new programs, operate State and Federal Court Electronic filing, and work across multiple applications throughout the day.

We are willing to train the right candidate on firm-specific procedures and software. However, the successful candidate must already possess strong computer skills, be a quick learner, and be willing and able to learn new systems and procedures.

Candidates should be proficient in: Microsoft Word
  • including document formatting, editing, tables, headers/footers, page numbering, Track Changes, and working with complex documents. Microsoft Excel
  • including organizing data, formatting spreadsheets, and using basic formulas and functions. Microsoft Outlook
  • including professional email communication, calendar management, attachments, folders, and scheduling. Adobe Acrobat / PDF software
  • including editing, combining, organizing, converting, and managing PDF documents.
Cloud-based file storage, electronic document management, and web-based applications. Multiple programs and applications simultaneously as part of a technology-driven workflow. Responsibilities The successful candidate will perform a combination of paralegal and legal secretary responsibilities, including but not limited: Perform general administrative and office-management responsibilities necessary for the efficient day-to-day operation of the firm. Draft, revise, format, proofread, and finalize correspondence, legal documents, agreements, pleadings, and other materials. Assist attorneys with Estate Planning, Estate Administration, Business Transactions, General Civil Litigation, and Land Use matters. Manage and organize Client and matter files from inception through conclusion. Maintain and coordinate the firm's cloud-based calendar, appointments, deadlines, and scheduling. Manage multiple assignments and competing priorities while meeting deadlines and maintaining accuracy. Communicate professionally with Clients, Attorneys, Courts, Government Agencies, Financial Institutions, Accountants, and other Professionals. Performance electronic court filings and submissions through online court and government systems. Manage electronic documents, including organizing, editing, combining, converting, and maintaining PDF, scanned files, and Microsoft Office files. Operate billing systems, draft and complete Client invoices, and other administrative and accounting-related responsibilities. Track and calendar outstanding assignments, deadlines, client requests, and follow-up items. Conduct legal and factual research as required. Learn and utilize the firm's legal practice management and technology systems. Handle confidential and sensitive client information with professionalism and discretion. Education & Experience Bachelor's Degree preferred. Prior law firm, paralegal, legal assistant, or professional office experience is preferred. Prior experience in a position requiring significant computer use, document preparation, organization, and multitasking is strongly preferred.
