DOE Position Summary Golden Key Law Group is seeking a highly organized, proactive Legal Assistant to support our legal team with court scheduling, client communication, e-service processing, case tracking, and attorney preparation. This role is responsible for keeping legal events moving from scheduling through completion. The Legal Assistant will coordinate hearings, mediations, depositions, trials, client meetings, and other case-related events; maintain accurate attorney calendars and scheduling trackers; process incoming court and e-service documents; prepare court-related materials and notebooks; and ensure clients and legal team members are informed and prepared for upcoming events. This is a fast-paced role for someone who is detail-oriented, deadline-driven, comfortable managing multiple priorities, and able to follow through without constant reminders. The right candidate understands that scheduling is more than placing something on a calendar. It requires protection of attorney time, follow-up, documentation, communication, preparation, and timely escalation when something is at risk. Key Responsibilities Serve as an early point of contact for incoming calls and communications from current clients. Route case-specific or substantive legal matters to the appropriate attorney, paralegal, or team member. Coordinate and schedule hearings, mediations, motion hearings, depositions, trials, client meetings, and other case-related events. Confirm availability with courts, judicial assistants, mediators, attorneys, opposing counsel, clients, and other participants as needed. Prepare and process routine scheduling-related notices and correspondence using firm-approved templates. Maintain accurate attorney calendars and scheduling trackers with current statuses, deadlines, event details, priorities, and follow-up notes. Monitor upcoming hearings and court events to ensure notices, scheduling orders, preparation meetings, and required materials are addressed timely. Prepare court notebooks and other hearing or trial preparation materials as directed by the legal team. Notify clients of hearings, meetings, mediations, depositions, trials, and other scheduled events. Send reminders and coordinate attorney-client preparation meetings before significant legal events whenever timing allows. Monitor designated e-service inboxes and court portals at least twice daily. Download, identify, label, save, and route incoming court documents to the correct client matter. Update calendars and task-management systems when filings or court documents create hearings, deadlines, or follow-up requirements. Maintain accurate communication logs, case notes, scheduling updates, and electronic file organization. Follow assigned work through completion rather than stopping after the initial action. Promptly escalate unclear instructions, scheduling delays, filing issues, deadline risks, or urgent court-related matters to the appropriate supervisor. Qualifications Prior experience in a law firm, legal assistant role, legal scheduling role, or other deadline-intensive professional environment preferred. Strong organizational and time-management skills. Ability to manage multiple active matters, deadlines, and follow-up requirements at the same time. Strong attention to detail and accuracy. Excellent written and verbal communication skills. Professional and confident when communicating with clients, court personnel, opposing counsel, and other professionals. Comfortable working in a fast-paced environment where priorities may shift throughout the day. Able to work independently while knowing when to ask questions or escalate concerns. Comfortable learning and using systems such as Clio, Dropbox, Google Workspace, court portals, e-service platforms, and task-management systems. Family law experience is strongly preferred, but not required for a candidate with strong legal support experience and the ability to learn quickly.
