- Part-Time Office Assistant Are you a people person? Do you have good time management and organizational skills? If you answered yes, apply with us. Join the City of Madison Heights Team as a Part-Time Office Assistant in the
Clerk's Office DUTIES:
Answer multi-line telephones and route calls, relay messages, and provide general information as requested either on the telephone or at the Clerk's counter. Assist the City Clerk and Clerk staff in the operations involved in the preparation of elections, registration of voters, and related tasks. Issue absentee ballots, register voters, and assist the City Clerk in administering the election as required. Update voter registration records and general municipal records. Prepare and file various letters, flyers, memoranda, records, and reports. Receive and process various applications, including for various City licenses and permits, including animal, business, and other licenses. Research and supply information to other departments and citizens when requested and/or required. Open, sort, and distribute incoming and outgoing mail on a daily basis; package materials for mailing; run errands. May assist in assembling City Council, Zoning Board of Appeals, and other agenda packets as directed. Provide effective and efficient customer service and promote and maintain responsive community relations. Supervise volunteers if necessary. Perform other related work as required.
QUALIFICATIONS
Must have a high school diploma or its equivalent. College coursework in Business, English, or Administrative Support is preferred. Highly proficient in Microsoft Office with a solid understanding of general computer use, including the ability to learn other computer software easily. Experience with the Michigan Qualified Voter File is desired. Must be able to distinguish confidential material and apply department standards for security and privacy. Must have the ability to learn, retain, and communicate departmental policies, procedures, and programs. Must have the ability to communicate orally and in writing and work constructively with others and the general public. A minimum of 2 years of office experience and substantial public contact; municipal experience is strongly preferred. A combination of experience and education will be considered.
General Work Hours:
Open Monday-Friday, 8:00 a.m.-4:00 p.m. (Part-Time Office Assistant works an average of 28 hours per week). Actual hours will be determined and are subject to change as needs require. Other hours that may be required: Saturday prior to Election, extended hours on Election Day.
