8810 SUMMARY The purpose of the position is to manage municipal court operations and assist with City Secretary duties. This is accomplished by working with the public; preparing court dockets and attending court; updating documents; preparing and distributing correspondence; assisting with council agendas and information; and maintaining files and information. Other duties include calculating and managing court fees and fines.
ESSENTIAL JOB FUNCTIONS
Assists with council preparation by providing administrative support; preparing and posting agendas; maintaining records and reports; processing all official records and preparing minutes. Manage court processes by working with the public; scheduling and preparing court dockets; providing information on court, fines, deferred dispositions and driving safety courses; maintaining court calendars; preparing notices and correspondence; processing fines, fees and court costs; and working with judges, defendants and prosecutors. Supervises jury trial processes by preparing information for trials; notifying all parties on dates and times; implementing court policies and procedures; and recording information into appropriate court systems.
EDUCATION AND EXPERIENCE
High School graduate or equivalent from an accredited institution Two years of experience in a municipal court environment
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of state, federal and local laws governing municipal court operations Knowledge of local, state and federal records management and retention requirements Knowledge of cash handling processes Skill in the operation and use of standard office software which includes databases and presentation programs, along with standard Microsoft products Ability to effectively supervise support or part-time staff Ability to prepare correspondence and reports Ability to effectively communicate, both verbally and in writing, with co-workers, the public, and elected and appointed officials
SPECIAL REQUIREMENTS
Ability to work nights or weekends as scheduled
LICENSES AND CERTIFICATIONS
Valid Texas driver's license with good driving record and ability to maintain while employed Certified Court Clerk Level 2 and completion of the Certified Court Clerk Level 3 within three years of employment Texas Municipal Clerk Certification Program completion or ability to complete within three years and maintain while employed Ability to become a registered Texas State Notary
WORKING CONDITIONS
Position requires mobility within an office environment and requires little physical effort in working with light materials generally weighing ten (10) pounds or less.
Qualifications:
Valid Texas driver s license with good driving record and ability to maintain while employed Certified Court Clerk Level 2 and completion of the Certified Court Clerk Level 3 within three years of employment Texas Municipal Clerk Certification Program completion or ability to complete within three years and maintain while employed Ability to become a registered Texas State Notary
