OFFICE MANAGER REPORTS TO
Plant Manager STATUS:

This is a full-time non-exempt position with overtime available.

SUMMARY:

This position is responsible for managing all administrative processes for the Plant office. Directly accountable for the accounting processes of the Plant including compilation, completion and accuracy of the information forwarded to the Corporate Accounting Department.

DUTIES & RESPONSIBILITIES

Lead the activities of all office staff. Assign duties to maximize efficiency, superior customer service, and maintain a professional and smooth running office environment. Responsible for ensuring that the office work product for the Plant is performed in accordance with company policies and accepted procedures. Perform daily banking and post office runs. Assist as needed in all areas of data processing, accounting, and customer service. On a daily basis, handle high level or elevated customer A/R issues. Research and respond to requests and inquiries from other Plants and Company locations regarding various accounting issues. Report to the Corporate Accounting Department on all accounting and related items for the Plant and Company Marina. Depending on the Plant location, may assist with dispatching of fuel deliveries to truck drivers. Maintain office equipment and supplies. Other work related duties as assigned by the Plant Manager.

KNOWLEDGE, SKILLS AND ABILITIES

Requires knowledge of accounting processes and computer systems. Requires thorough understanding of e-mail, word processing and spreadsheet applications. Must have excellent communication skills and be effective in oral and written communication. Requires ability to lead employees and monitor their work quality. Must be capable of working effectively under time constraints to meet Company deadlines. Understands the roles and responsibility of the Plant Manager and Plant personnel in order to effectively forward problems for resolution. Needs to possess ability to remain calm under pressure and represent Petro Marine Services, Inc. and the Plant in a professional and courteous manner.

QUALIFICATIONS

Two years combined experience in accounting and/or bookkeeping and office management. Experience in a fuel or industrial environment helpful but not required. Experience in retail management desirable.

PHYSICAL REQUIREMENTS LANGUAGE SKILLS

Ability to respond to common inquiries or complaints from employees, customers, or service providers. Ability to write and effectively communicate utilizing e-mail. Ability to communicate effectively with all employees, customers and vendors to facilitate problem resolutions.

PHYSICAL DEMANDS

Individual may need to sit or stand as needed. May require walking primarily on a level surface for periodic periods through out the day. Reaching above shoulder heights, below the waist or lifting as required to move hardware. Proper lifting techniques required. Must be able to occasionally lift 50 lbs., routinely lift 25 lbs.

WORK ENVIRONMENT

Exposure is ambient room temperatures, lighting and traditional office equipment as found in a typical office environment. Depending on the plant location, this position may have limited exposure to industrial areas and marine locations which requires the use of personal protective equipment such as appropriate foot wear, safety glasses with side shields and mandatory hearing protection. Industrial areas include hazardous chemicals, fumes, and petroleum by-products.
