Job Description

The Home Office Project Manager is the primary administrative project manager responsible for the day-to-day coordination, documentation, schedule discipline and governance of specific assigned programs. The position creates the operating structure that keeps workstreams aligned, commitments visible and project information current. The role reports to the Director of Merchandise Support and works in close functional partnership with the EPMO Project Manager. This structure allows EPMO involvement to remain focused on enterprise governance, standards, escalation and executive alignment while the Home Office Project Manager owns routine program administration and coordination. Responsibilities Build, maintain and control the integrated project plan, timeline, workback schedules, milestones and cross-workstream dependencies. Coordinate the program meeting cadence, including scheduling, participant coordination, pre-reads, agenda development, room or Teams logistics and material preparation. Draft and distribute meeting agendas, meeting minutes, decisions, action items and follow-up communications in a timely and consistent format. Maintain action, decision, risk, issue, assumption and dependency logs; follow up with owners and escalate overdue or high-impact items. Track workstream deliverables against the approved plan and provide clear visibility to upcoming milestones, slippage, constraints and required decisions. Prepare program status reports, leadership updates, dashboards and governance materials using validated inputs from workstream leads. Maintain the document repository, folder structure, templates, naming standards, version control and archive of project records. Track project budget, expenses, invoices, purchase-order status, capital forecasts and emerging concerns in coordination with Finance and accountable workstream owners. Coordinate vendor commitments, deliverables, meeting follow-up, documentation and timelines; surface gaps to the appropriate business owner. Document requested scope or schedule changes, assess downstream impacts with relevant owners and maintain change-control records. Support readiness, testing, training, deployment and rollout coordination by consolidating cross-functional plans and tracking completion evidence. Coordinate project onboarding for new team members, including access, core documents, workstream contacts, meeting cadence and role expectations. Partner with the EPMO Project Manager to align practices with enterprise project-management standards and prepare items requiring EPMO or steering-level review. Continuously improve project-management processes, templates, reporting and meeting effectiveness. Perform other related duties or projects as assigned. Qualifications Bachelor degree in business, project management, operations or a related field, or an equivalent combination of education and experience. Three or more years of project coordination or project management experience preferred. Experience supporting complex cross-functional programs, governance routines or enterprise initiatives preferred. Working knowledge of project planning, scope, risk, issue, dependency, change and budget tracking. Excellent written communication, meeting facilitation, documentation and stakeholder follow-through. High attention to detail and ability to manage multiple deadlines without losing version or data control. Proficiency with Smartsheet and Microsoft Office products, including Teams, Word, Excel, PowerPoint and SharePoint. PMP or project-management training is preferred but not required.
