Full Job Description The Company:
MGM Energy is a contractor specializing in HVAC, plumbing, energy conservation, and electrical services. We also participate in the Energy Saving Assistance Program sponsored by Southern California Edison, Southern California Gas Company, Southwest Gas, and Bear Valley Electric.
Job Overview:
The Office Manager oversees the daily administrative operations of the office, ensuring a well‑organized, efficient, and productive work environment. This role manages front‑office activities, supports internal teams, coordinates administrative workflows, and maintains company records and documentation. The Office Manager plays a key role in HR support functions such as onboarding, scheduling, separations and employee documentation, while also assisting leadership with reporting, communication, and operational support. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced setting. The Office Manager serves as the central point of contact for employees, vendors, and customers, helping maintain a professional and customer‑focused environment. Responsibilities and Duties Manage daily office operations, including scheduling, phones, email, and customer communication. Manage dispatch performance to reduce wasted time, increase billable hours, and improve job completion rates. Manage inventory coordination, including ordering parts, tracking usage, returns, and communicating with suppliers Support compliance and documentation, such as permits, inspections, insurance certificates, and safety documentation. Support HR functions such as onboarding, employee files, scheduling, and compliance documentation Coordinate internal communications, meeting schedules, and company events Assist leadership with reports, administrative tasks, and workflow organization Maintain accurate records, filing systems, and company databases Oversee billing support, invoicing preparation, and basic accounting tasks (as assigned) Monitor and improve office procedures, processes, and administrative systems Develop and enforce standard operating procedures to improve operational efficiency. Hold office staff accountable for clear KPIs and high-performance standards. Ensures department projections are on task. Acts as the liaison between the department and subcontractors. Tracks department contracts to ensure compliance. Supervises and processes evaluations of clerical and eligibility staff. Creates letters, correspondence, reports, memorandums, and other written materials. Lead and execute call-by-call management to ensure maximum efficiency and revenue. Works independently with minimal supervision. Manage financial oversight, including job costing, invoicing, and efficiency reporting. Follow safety protocol and standards. Track and report KPIs to drive continuous improvement in office and field operations. Participate in staff meetings and attend other meetings and seminars as directed. Audit dispatch boards to ensure the right techs are assigned to the right jobs for maximum performance. Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, and address customer complaints. Maintain a positive relationship with customers, staff, and utility company representatives. Participate in the routine meetings, workshops, and training as directed by the Program Administrator. Responsible for the excellent image of the company while on company time
Requirements:
Must have at least 2 years of experience in HVAC and plumbing or mechanical contracting. 2+ years supervisory or operations management experience. 2+ years of experience with scheduling, dispatching, and field team coordination 2+ years of HR experience, including hiring, onboarding, training, corrective actions, and compliance. Must possess an associate degree or equivalent trade experience. Strong communication skills are required, along with proficiency in computer skills. Spanish-speaking ability is a plus.

8:00 am- 5:00 pm overtime as needed.
