Exceptional Position Overview:
The Office Manager oversees daily administrative operations to ensure an efficient, organized, and professional environment that supports the needs of leadership, field teams, and office staff. This role manages office systems, workflows, communication, and administrative support functions while helping coordinate HR, accounting, IT, and project-related tasks. The Office Manager is a key member of internal operations and contributes directly to the smooth functioning of the company. Key Responsibilities Office Administration & Operations Manage day-to-day office operations, supplies, equipment, and vendor relationships. Maintain filing systems, records, office contracts, and workflow procedures. Support administrative needs for field staff, project managers, superintendents, and leadership. Greet and assist visitors; direct incoming calls, mail, and correspondence. Monitor office expenditures and assist with budgeting for office operations. Scheduling, Meetings & Events Coordinate meeting schedules, prepare agendas, and support event planning. Assist with internal communications and employee engagement activities. HR & Onboarding Support Support new-hire onboarding by assisting with paperwork, training logistics, and technology setup. Maintain personnel-related administrative records in collaboration with HR. Accounting & Bookkeeping Support Assist with basic accounting tasks, including bookkeeping, updating accounting records, and tracking office expenditures. Support accounting team with lien waivers, insurance certificates, and subcontractor compliance documents. Help maintain and update the subcontractor database in RedTeam Go. Estimating & Project Support Assist the estimating team by contacting subcontractors for bids and distributing documentation. Support project teams with administrative tasks as requested. IT & Technology Coordination Provide basic IT support including new employee computer setup, hardware inventory, and troubleshooting assistance. Coordinate with IT vendors to maintain smooth technology operations. Documentation & Reporting Maintain accurate office records, including logs, timesheets, receipts, and incident documentation when needed. Ensure administrative processes are consistent and efficient across the organization. Qualifications Education & Experience Bachelor's degree in Business Administration, Office Management, or related field preferred. Proven experience as an Office Manager, preferably in the construction industry. Skills & Competencies Strong organizational, multitasking, and time-management abilities. Excellent written and verbal communication skills. Ability to work in a fast-paced environment with a high level of accuracy. Strong problem-solving skills and attention to detail. Ability to build relationships and work collaboratively across departments. Consistently be present in office during normal working hours. Technical Knowledge Proficiency in Microsoft Office Suite. Familiarity with QuickBooks, and standard office equipment. Basic IT troubleshooting capabilities. Tools & Systems Used Microsoft Office Suite RedTeam Go — administrative coordination and document support QuickBooks (as needed for administrative and accounting support) Other Typical Duties Assist in vendor relationship management. Help with travel arrangements, deliveries, and miscellaneous office tasks. Assist with errands for company owners/executives. Provide backup support to other administrative roles as needed.
