This vital role combines office management with logistics coordination, inventory oversight, and financial record-keeping to ensure smooth daily operations. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, technical proficiency, and a proactive approach to problem-solving. Your efforts will directly contribute to the efficiency of our operations, supporting team collaboration and maintaining accurate financial and inventory records. Duties Manage daily office operations, including front desk responsibilities, filing, and administrative support to ensure a professional and welcoming environment. Oversee logistics activities such as scheduling shipments, coordinating deliveries with vendors, and managing transportation arrangements. Maintain accurate inventory records through regular tracking, stock audits, and updating inventory management systems. Handle bookkeeping tasks using accounting software like QuickBooks or similar platforms, including invoicing, expense tracking, and financial reconciliations. Assist with budgeting processes by monitoring expenses and preparing financial reports for management review. Supervise vendor relationships by managing contracts, negotiating terms, and ensuring timely deliveries. Support human resources functions such as payroll processing, employee record management, onboarding assistance, and training coordination. Utilize Microsoft Office tools and spreadsheets to prepare reports, maintain records, and streamline office workflows. Manage scheduling for meetings, events planning, calendar management for team members, and coordinate training & development sessions. Handle confidential information with discretion while maintaining high standards of communication with clients and internal teams. Requirements Proven experience in office administration with a focus on logistics, inventory management, or bookkeeping. Strong proficiency in accounting software such as QuickBooks along with Microsoft Office Suite including Excel spreadsheets. Demonstrated experience in event planning, vendor management, and schedule coordination. Supervising or team management experience is highly desirable to foster a collaborative work environment. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Effective communication skills—both verbal and written—to liaise confidently with clients, vendors, and team members. Knowledge of human resources functions including payroll processing and employee onboarding is preferred. Ability to handle confidential information responsibly while maintaining professionalism at all times. Technical proficiency in office management tools along with strong clerical skills such as filing systems and front desk duties.
