Full Job Description Lutheran Church of Our Redeemer and Preschool Office Administrator Job Description Essential Functions:
Responsible for managing day to day administrative operations of the preschool and church while providing a welcoming, professional and supportive enviroment for children, families and staff. Bilingual (English/Spanish)
Preschool Clerical Responsibilities:
Greet and assist children, parents, visitors and staff in a friendly and professional manner Answer and direct phone calls, emails and other inquires Maintain student enrollment, attendance, registration and contact records accurately and confidentially Assist families with enrollment paperwork, forms, tuition information and school policies Maintain student files and ensure required documents are current and organized Manage the school calendar, appointments, meetings and administrative schedules Manage tuition, billing, payments, receipts and basic financial recordkeeping as assigned Prepare letters, notices, newsletters, reports and other school communications Maintain office supplies and place orders when necessary Support the school director and teaching staff with administrative tasks Monitor daily attendance and assist with parent communication regarding absences and schedule changes Maintain confidentiality regarding children, families, employees and school records Help maintain compliance with state licensing requirements, health and all safety procedures and school policies Coordinate communication with parents regarding school events, reminders, forms and important announcements Help with any necessary set up and break down of school events Respond appropriately to emergencies and follow established school safety procedures Perform all other administrative duties as assigned Church Clerical Responsibilities Under general supervision, perform a variety of office support, clerical, and routine secretarial duties. Serve as receptionist; receive office and telephone calls; provide general and technical information in accordance with established guidelines. Maintain, prepare, review, edit, and proofread a variety of documents and forms including general correspondence, agendas, requisitions, reports, minutes, and memoranda from rough draft or verbal instruction; distribute information as appropriate. Printing and distributing church bulletins, newsletters, reports, and directories as needed or required Compile + prepare the Annual Report and maintain the membership records of the church Produce mass e-mails, newsletters, brochures, flyer handouts, and other specialized documents using desktop publishing software and other computer applications. Receive, sort, and distribute incoming and outgoing correspondence. Prepare outgoing mail and bulk mailings.
Minimum Qualifications:
High School Diploma Able to fulfill all requirements as required by the Community Care Licensing Division, State of California (i.e. T.B. testing, criminal background check…) Has or will obtain CPR and first aid training within 30 days of hire Able to speak clearly and model the English and Spanish language to children and families -bilingual Able to perform basic math, understand written procedures, and understand multi-step written and oral instructions given in English Able to demonstrate adequate computer skills in MS Office, Word, Excel, PowerPoint Ability to navigate the Internet and experience with webpage updating is helpful. Strong verbal, written, interpersonal, telephone, and organizational skills.
Desired Qualifications:
AA / AS Degree, ECE college units Familiarity with a church and preschool desired. One year of responsible clerical experience involving public contact and the use of a computer and office applications OR two years of customer service experience that required the use of computer applications to enter and retrieve information.

Maintain confidentiality of parent, child, and staff information except as required by law Attend all mandatory staff meetings and training as well as school-sponsored parent and family functions as directed Assists in planning and coordinating school-sponsored events, including set-up & breakdown. Wears appropriate attire at all times Exhibits tact, patience, kindness, and positive attitude at all times Demonstrates loyalty to the preschool at all times Able to collaborate and work with others
Reporting Relationship:
This position reports to the Director of the Preschool and the Pastor of the church. FLSA (Fair Labor Standards Act)
Status:
This is a regular part-time, non-exempt position.
Physical Demands:
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some climbing and balancing; frequent stooping, kneeling crouching, and/or crawling; and significant fine finger dexterity. Generally, the job requires 50% sitting, 20% walking, and 30% standing.
Environmental Conditions:
The Clerical Assistant will be working in a busy and occasionally noisy environment. This position may share an office with another staff member who may frequently be operating a computer or talking on a telephone.
Sensory Demands:
The Clerical Assistant may experience smells associated with toileting and children who are ill. There may be times that the environment is noisy and busy.
