Main Responsibilities :
Provide front desk reception coverage including handling phone calls, routing them to appropriate staff, taking and distributing messages, and receiving/greeting all visitors in a professional and warm manner.
Collect and distribute all incoming mail and courier items.
Assist in General Office administration (i.e., office supply ordering, form and documents inventory, filing, etc.)
Partner with Human Resources, Payroll, and division managers to process job applicants, administer new hire pre-employment and orientation activities, assist in benefit enrollment, timekeeping system set up, prepare annual review forms, and separation/termination processing.
Manage and process client and vendor invoices.
Generate, send, and track client proposals.
Manage and file all facility invoices.
Review expenses for management team.
Maintain and update client/employee spreadsheets.
Assist field staff with addressing time, pay, benefit, and other needs/concerns.
Maintain uniform inventory for field staff.
Assist division in arranging for and receiving services related to office equipment, telecommunications needs and building maintenance services.
Assist in any ad-hoc duties, projects, and activities as and when required.
Adhere to and promote Company doctrines, values, and mission.
Skills/Abilities - Ability to:
Knowledge and ability to use various computer programs and applications, including Microsoft Office Word, Excel, and email systems.
Type a minimum of 40 WPM
Strong verbal and written communication skills
Manage multiple priorities and meet deadlines
Ability to establish and maintain effective working relationships with supervisors, other employees, and clients
Apply to deliver strong customer service
Always represent the organization in a positive and professional manner.
Bilingual (English/Spanish) Required
Excellent writing skills preferred.
Strong organizational skills, ability to multi-task a must.
Education/Experience/Licenses/Certifications:
3+ years working in an Office Management Role
1+ years of experience in landscape industry (preferred, not required)
Valid Driver's License Work Environment/Physical Requirements:
