In this pivotal role, you will serve as the first point of contact for patients and providers, managing patient intake processes while overseeing daily office operations. Your expertise in medical administrative support, electronic health records (EHR) management, and health information systems will ensure smooth clinic workflows and exceptional patient service. Duties Greet patients and visitors with professionalism, providing excellent customer service and phone etiquette Manage patient intake by verifying insurance information, collecting necessary documentation, and updating electronic health records (EHR systems) such as Epic, Meditech, Athenahealth, or eClinicalWorks Schedule appointments efficiently using medical scheduling software and coordinate follow-up visits Review medical documentation for accuracy, completeness, and compliance with HIPAA regulations and clinical confidentiality policies Assist with medical billing processes and verifying insurance coverage such as Medicare Maintain accurate medical records, files, and electronic health records (EHR) management systems Support clinical staff by handling clerical tasks like filing, data entry (including 10 key typing), and managing office supplies Facilitate communication between patients, providers, insurance companies, and external agencies to ensure seamless care delivery Requirements Proven experience in medical office management or healthcare administrative support within a clinical setting Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; familiarity with electronic health records management is essential Experience with health insurance processes including Medicare billing and understanding of HIPAA regulations Excellent organizational skills with the ability to multitask in a fast-paced environment Exceptional communication skills—bilingual abilities are a plus—along with phone etiquette and customer service expertise Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills for documentation review and data entry Clinic or dental clinic experience is highly desirable; familiarity with medical terminology and care plans is preferred Ability to maintain confidentiality while managing sensitive patient information effectively Prior office experience involving front desk duties, medical scheduling, filing, and clerical support is required Join our team to make a meaningful impact on patient care while advancing your career in a supportive healthcare environment.
