This position will oversee our Client Care Specialist (CCS)/Front Desk team and Billing team and will be responsible for making sure both departments stay organized, supported, and accountable to established expectations. A large part of this role is people management . We are looking for someone who enjoys training employees, supporting their growth, keeping teams on track, solving day-to-day problems, and creating a positive and productive work environment. You do not need to be a billing expert to be successful in this position. We are looking for a strong manager who is comfortable learning our systems and workflows and ensuring that the team members responsible for each area are completing their responsibilities effectively. What You'll Do Manage & Support Our Team Oversee the CCS/front desk and billing teams Serve as the primary day-to-day manager and resource for these departments Monitor employee performance and follow up when expectations are not being met Provide coaching, feedback, mentorship, and ongoing support Conduct regular team meetings and individual check-ins Help maintain a positive, accountable, and team-oriented culture Address day-to-day employee questions and concerns Hiring, Training & Onboarding Assist with recruiting and hiring for front office and billing positions Interview prospective team members Coordinate and oversee onboarding for new employees Train new team members on company expectations, systems, and workflows Make sure employees feel confident and prepared before working independently Provide additional training and support when performance gaps are identified Front Office Oversight Ensure front desk workflows are being completed consistently and accurately Monitor scheduling, patient communication, insurance verification, referrals, authorizations, and other front office responsibilities Help troubleshoot scheduling and patient-service concerns Ensure our patients and families receive a friendly and professional experience Maintain consistency in front office processes across our clinic locations Billing Team Oversight Manage and support the employees within our billing department Monitor whether billing responsibilities are being completed accurately and on time Review established billing performance metrics and follow up on areas of concern Help ensure billing and front office teams communicate effectively Escalate larger billing or insurance concerns to company leadership when appropriate Organization & Workflows Help maintain clear and consistent administrative processes Identify workflows that aren't working well and help develop practical solutions Communicate process changes to the team and provide necessary training Follow up to make sure new processes are being implemented consistently Work closely with company leadership to keep administrative operations running smoothly Who We're Looking For You may be a great fit for this position if you: Have previous experience supervising or managing employees Enjoy helping people learn and improve Are comfortable holding employees accountable while remaining approachable and supportive Are highly organized and able to keep track of multiple priorities Are confident leading meetings and communicating expectations Are comfortable addressing performance concerns when necessary Are proactive and don't wait for someone else to solve a problem Communicate clearly and professionally Work well in a fast-paced environment Are comfortable learning new software and systems Previous experience in a medical office, therapy clinic, dental office, healthcare practice, billing office, or other patient-facing healthcare environment is preferred. Experience with medical billing or insurance is helpful but not required .
