Job Description

Looking for a highly motivated individual who can work independently to oversee office responsibilities for a branch location in Avon. Primary duties include answering multi-line phone, data entry, customer service, making printed materials, assisting funeral directors with tasks, making files, scanning, filing, e-mailing, faxing, greeting families etc. This is a full time position with competitive wages and benefits package. The ideal candidate is caring and empathic, possesses strong customer service skills, excellent communication skills, advanced clerical computer skills, polite phone etiquette and organizational skills. This position requires the ability to multi-task in a busy office environment.
Day to day responsibilities include:
Telephone responsibilities/ including monitoring answering service Taking death calls notifying Care Team/ Funeral Director Greeting office visitors and responding to their needs/referring to FD as needed Recording death calls interface with SRS, funeral service software, and electronic scheduling board to ensure accuracy Assisting FD staff with local information about churches, clergy, cemeteries, reception venues, caterers and keeping accurate up to date information in computer system Keeping outside maintenance contractors aware of services and schedules Monitoring work of outside cleaning contractors and making sure they have appropriate access after-hours. Giving maintenance needs (i.e., lights out, plumbing problems, or heat/AC concerns) to in-house maintenance staff as appropriate for FH. With information supplied by FDs, create printed material: memorial cards, programs, clergy records, picture tributes, register books, laminated obituaries and any items given to the public (as well as any special signage requested). Scheduling appointments with families to go over printed materials requested when decision was not made at original meeting or they are requesting something special. Scheduling appointments for pre-need arrangements. Verify and supply churches and or clergy with information they may need or require. Ensure proper Memorandums of Goods and Services are signed and accurate. Communicate any outside concerns regarding a service or family to the FD in charge of service. Make sure outside vendors like florists, caterers, engravers, etc. charges match agreed or charged as Cash Advances Create checks for clergy, cemeteries, musicians, or others that must be paid on day of services including appropriate gratuities for cemetery workers or livery drivers and handling other bills by company policy. Keep accurate records for permanent files including scanning and keeping SRS up to date. Create the final invoice for payment with final check by FD/ apply for State DSS Funding with SAGA forms and billing. Keep accounts receivable records, reminding FD of any concerns or actions needed. Sending monthly statements as needed. Interface with law offices or administrators as necessary to supply documentation allowed by privacy policy and or approval by FD. Record payments by company policy and transmit checks/cc slips to Administrative Office. Verify and balance petty cash monthly Order stationery, office supplies, funeral supplies as needed to keep an adequate supply on hand. (Taking quarterly inventory of stock of same) Assist FDs with obituary placement in a variety of newspapers and our website when needed Other duties deemed necessary for the smooth and efficient operation of the office and interaction with those families we serve and the public at large.
Additional requirements:
Must have a valid driver's license. Must pass drug screening, including Marijuana, and background check. Quick book experience a plus Design program experience a plus Ability to use video equipment a plus
