About the Role The Office Administrator is the first person clients meet when they walk through our door and a steady point of contact throughout the engagement. This role keeps client work moving through collecting source documents, tracking deliverables, securing signatures, and connecting clients with the right person on our team. We are looking for someone who is good with people, comfortable owning a to-do list that changes by the hour, and serious about protecting client information. What You'll Do Client experience Greet clients in person and by phone, and make sure every visitor is helped promptly and professionally Serve as the day-to-day liaison between clients and firm management, routing questions to the right team member and following up until they're resolved Maintain a clean, welcoming, and organized reception and common area Document and workflow management Request, collect, and log client source documents; follow up on outstanding items until files are complete Track engagements, due dates, and open items in the firm's project tracking platform, and keep records current Prepare and route documents for signature, and confirm all required signatures and authorizations are obtained and filed General administration Manage scheduling, appointment coordination, mail, and office supplies Support the team during peak filing periods with whatever the moment requires Assistance with billing and invoicing Bookkeeping What We're Looking For Required Experience in an administrative, front-desk, or client service role Strong interpersonal and written communication skills, with a warm and professional presence Proven discretion with confidential information Comfort with technology and the ability to learn new platforms quickly; proficiency with Microsoft Office Strong organizational skills and follow-through on open items without prompting Ability to prioritize and stay composed during high-volume periods Preferred QuickBooks desktop experience Experience in a professional services setting: accounting, tax, legal, or financial advisory Familiarity with project or workflow management software (for example, Canopy) Familiarity with e-signature tools and secure client portals Exposure to tax season workflows and deadlines Working Conditions On-site at our Cheshire office Extended hours may be required during
Tax Season Pay:
$25.00 per hour Expected hours: 25.0 - 40.0 per week
