Pediatric Office Manager Trumbull Pediatrics - 2.0 Trumbull, CT Job Details Part-time | Full-time 1 day ago Benefits 401(k) Paid time off Retirement plan Qualifications Customer communication Full Job Description Pediatric office is seeking an experienced, organized, and hands-on Practice Manager to oversee the day-to-day operations of our busy independent pediatric practice. The Practice Manager will supervise and support front-office and clinical staff, manage staffing and schedules, oversee patient flow and daily office operations, assist with hiring and onboarding, address patient and staff concerns, coordinate with providers and vendors, maintain office policies and regulatory compliance, and support quality-improvement and PCMH initiatives. The ideal candidate is a strong leader who is comfortable working in a fast-paced pediatric environment, solving problems in real time, and stepping in where needed to keep the practice running smoothly and efficiently. This is a full-time, on-site position, Monday through Friday.
Responsibilities include:
Supervise, support, and provide day-to-day leadership to front-office and clinical support staff Manage employee schedules and ensure appropriate staffing and coverage for daily operations Participate in hiring, onboarding, training, supervision, and performance management of employees Oversee patient scheduling, registration, medical records, and overall patient flow Monitor daily office operations and identify opportunities to improve efficiency and workflow Promote excellent customer service and a positive experience for patients and families Address and resolve patient concerns and complaints in a professional and timely manner Develop, implement, and maintain office policies and procedures Ensure compliance with HIPAA, OSHA, applicable labor requirements, and other healthcare regulations Coordinate with physicians, clinical staff, billing services, Privia, vendors, and other business partners as needed Assist with quality-improvement initiatives Conduct and coordinate staff meetings as appropriate Oversee office supplies, equipment, and other operational needs Assist with administrative projects and physician recruitment/onboarding as needed Serve as a resource for staff and help resolve day-to-day operational and personnel issues Be willing to step in and assist with office operations when staffing or patient volume requires additional support
Experience & Qualifications:
Minimum of 3 years of experience in a medical-office setting At least 2 years of supervisory or healthcare-management experience preferred Strong leadership, organizational, multitasking, and problem-solving skills Experience supervising, training, and supporting employees Knowledge of HIPAA and medical-office compliance requirements Strong written and verbal communication skills Strong customer-service skills and ability to communicate professionally with patients, families, physicians, and staff Comfortable using healthcare software, EMR systems, and standard computer applications Athena experience preferred Pediatric practice experience strongly preferred Experience with PCMH/quality-improvement programs is a plus General understanding of medical billing and insurance processes .
