The ideal candidate will possess strong leadership skills, exceptional organizational abilities, and a comprehensive understanding of office management practices. This role offers an opportunity to contribute to a dynamic team by maintaining efficient workflows, supporting staff, and enhancing overall productivity. The Office Manager will serve as the central point for administrative support, client communication, and office coordination, fostering a professional and welcoming atmosphere for all visitors and team members. Responsibilities Manage daily office operations, including overseeing administrative staff and coordinating office activities to ensure efficiency. Maintain and update office systems, including filing, data entry, and record keeping, utilizing productivity software such as spreadsheets and word processing tools. Handle incoming calls using multi-line phone systems with professionalism and courtesy, providing excellent customer service and client communication. Oversee calendar management and scheduling for meetings, appointments, and company events to optimize time management for staff and executives. Utilize accounting software such as QuickBooks for basic financial tasks including invoicing, expense tracking, and budget monitoring. Coordinate front desk activities, including greeting visitors, managing phone etiquette, and supporting client support initiatives. Ensure office supplies are stocked and organized; manage vendor relationships for maintenance and equipment needs. Support personal assistant tasks when required, assisting with travel arrangements or special projects to enhance overall productivity. Skills Proficiency in open dental (Word, Excel, Outlook) along with strong computer literacy skills. Experience with office management systems and technical proficiency in using productivity software. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Strong verbal and written communication skills; bilingual abilities are a plus for diverse client interactions. Demonstrated experience in clerical tasks such as filing, proofreading, data entry, and document preparation. Knowledge of front desk operations combined with exceptional phone etiquette and customer support skills. Ability to manage time efficiently while prioritizing tasks to meet deadlines consistently. Previous experience in administrative or office management roles is preferred; personal assistant experience is advantageous.
