2+ years Job Summary We are seeking a professional, organized, and dependable Office Administrator to support the daily operations of a growing logistics and freight forwarding organization. This position will serve as the first point of contact for visitors and callers while providing administrative and operational support to management and employees throughout the office. The ideal candidate will have at least 2 years of administrative or office support experience, strong organizational skills, excellent attention to detail, and the ability to handle multiple responsibilities in a fast-paced environment. This is a hands-on role involving office administration, onboarding and offboarding, billing support, invoice processing, vendor coordination, office events, asset tracking, and general branch operations. Responsibilities Professionally answer incoming calls, greet visitors, and direct inquiries to the appropriate department. Provide administrative support to the General Manager, Regional SVP, and other leadership as needed. Manage employee onboarding and offboarding, including paperwork, access badges, workstation setup, devices, and equipment resets. Maintain accurate office records, spreadsheets, and IT asset inventories. Maintain inventory of office supplies, equipment, and breakroom items. Help ensure common office areas and the breakroom remain organized, stocked, and properly maintained. Perform routine checks of the server room and report potential issues when needed. Manage incoming and outgoing mail, packages, checks, and correspondence. Coordinate branch meetings, including invitations, materials, and conference room preparation. Update digital office displays with company news, events, announcements, and employee milestones. Coordinate office events, celebrations, seasonal decorations, and special occasions. Submit office-related invoices and expenses to accounting. Review and approve appropriate overhead invoices. Coordinate timely payment of overhead invoices. Handle billing for designated warehouse accounts. Issue checks when authorized and required. Manage the local company cell phone account. Coordinate with building management, maintenance providers, vendors, and other service providers. Assist with maintenance requests, repairs, and other office-related issues. Handle occasional off-site errands, including courier drop-offs, supply purchases, and warehouse support. Provide general administrative and operational support to staff and visitors. Perform additional duties and special projects as assigned. Qualifications High school diploma or equivalent required. Associate or bachelor's degree in Business Administration or a related field preferred. Minimum 2 years of experience in an administrative, receptionist, office administrator, or office support role. Corporate office experience preferred. Experience with billing, invoices, accounts payable, or basic accounting-related responsibilities is a plus. Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint. Familiarity with SharePoint or similar office management systems is a plus. Strong written and verbal communication skills. Excellent organizational and multitasking abilities. Strong attention to detail and accuracy. Ability to manage multiple priorities and deadlines. Ability to work independently and take initiative. Strong problem-solving skills. Professional and welcoming demeanor. Ability to handle confidential or sensitive information appropriately. Dependable, reliable, and team-oriented. Ideal Candidate The ideal candidate is proactive, organized, and comfortable taking ownership of day-to-day office needs. We are looking for someone who can identify what needs to be done, follow through without constant supervision, and comfortably handle a combination of administrative, operational, billing, vendor, and office-management responsibilities.
