Duties Make outbound sales calls to prospective customers, generate new leads, and follow up on existing inquiries. Provide exceptional customer support via phone, email, or in person, converting inquiries into sales where possible. Use AI tools and technology to assist with administrative tasks, improve efficiency, organize information, and support daily workflows. Handle filing systems, document proofreading, and ensure all correspondence is clear, accurate, and error-free. Support calendar management and scheduling for team meetings, appointments, and events. Provide exceptional customer support via phone, email, or in person to ensure client satisfaction. Assist with office management tasks such as supply ordering, inventory tracking, and general clerical duties. Coordinate with other departments to streamline administrative processes and improve overall office efficiency. Maintain organization of files, documents, and electronic records for easy retrieval and compliance. Work independently as a self-starter while also collaborating effectively with team members. Handle assigned tasks with patience, professionalism, and attention to detail. Qualifications Proven experience in office management or administrative roles is preferred, but recent graduates are encouraged to apply. Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, as well as Google Workspace tools. Provide exceptional customer support via phone, email, or in person, converting inquiries into sales where possible. Familiarity with QuickBooks for bookkeeping and financial record-keeping is a plus. Ability to use or quickly learn AI tools and office technology to support administrative tasks and improve productivity. Excellent phone etiquette with experience managing multi-line phone systems. Bilingual abilities are highly desirable to serve diverse client needs effectively. Strong typing skills with high accuracy and the ability to perform data entry efficiently. Previous clerical or receptionist experience in medical or dental offices is a plus. Strong written and verbal communication skills. Ability to multitask and work efficiently in a fast-paced environment. Strong organizational and critical thinking skills. Quick learner with the ability to adapt to new tasks, systems, and procedures. Patient, professional, and dependable when handling tasks, clients, and office responsibilities. Self-starter with a proactive attitude and the ability to work independently with minimal supervision. Exceptional customer service skills with a friendly yet professional demeanor. Knowledge of office equipment such as printers, scanners, and fax machines; computer literacy is essential. Proven experience in office management or administrative roles with strong organizational skills.
