JOB SUMMARY
The Elementary Office Manager serves as the operational hub of the school, providing administrative, financial, and clerical support to building principal(s), staff, students, and families. This role ensures smooth daily operations, compliance with legal and district guidelines, and accurate management of financial and educational records for student and site transactions while fostering a welcoming, secure environment for the school community.
QUALIFICATIONS
Education & Experience:
High school diploma or GED equivalent; prior experience in a school office setting preferred.
Proactive Problem-Solver:
Highly self-motivated with the ability to anticipate administrative needs and maintain composure in a fast-paced environment with frequent interruptions.
Customer Service & Communication:
Strong interpersonal skills with a welcoming demeanor for greeting visitors, supporting staff, and communicating effectively with students, parents, vendors, and district leadership.
Technical & Organizational Skills:
Proficient in standard office equipment and software applications; demonstrated ability to maintain accurate records, manage complex data, prioritize tasks, and meet firm deadlines.
Core Competencies:
Basic bookkeeping/financial management principles, strong command of English grammar and punctuation, and basic math.
Professional Integrity:
Ability to handle sensitive information with complete confidentiality and ethical discretion.
MAJOR DUTIES AND RESPONSIBILITIES
Executive & Administrative Support Provide high-level support to the Principal, managing schedules, coordinating appointments, and tracking key commitments and action items. Maintain situational awareness across the building, reporting issues or emerging situations to administration promptly. Compose, edit, and distribute official school communications (e.g., letters, bulletins, newsletters, awards, and event materials). Process incoming/outgoing mail, disseminate building communications, and answer main phone lines. Exercise judgment to handle routine administrative decisions in the supervisor's absence within established guidelines. Financial & Operations Management Monitor and reconcile building account balances, general funds, purchase orders, checkbook registers, and budget reports. Process, collect, and deposit funds (e.g., field trips, fundraisers, student fees) in accordance with district financial policies. Oversee procurement, inventory, and distribution of school supplies, furniture, and instructional materials. Coordinate building programs and events, including student registration, attendance tracking, fire/safety drills, substitute coverage, and room/equipment reservations. Student Data & Health Services Maintain the integrity, accuracy, and confidentiality of the student information system (enrollment/withdrawals, attendance, grades, medical and immunization records). Generate, analyze, and submit required statistical, financial, and attendance reports for district and state compliance. Coordinate with the school nurse to assist with student health needs, emergency situations, basic first aid, and prescribed medication administration as assigned. Culture & Professional Conduct Serve as a primary ambassador for the school, providing a positive, proactive, and helpful environment for all visitors, families, and staff. Orient new site staff and substitutes to school protocols and operational procedures. Adhere to ethical standards and maintain strict confidentiality regarding student and employee records. Perform other related duties as assigned by the administrator. Background Check & At-Will Employment Upon hire, applicants are required to clear a criminal justice fingerprint and background check.
