//www.facebook.com/3pthealthcare/ About the Role The Office Manager leads our Patient Care Advocate (PCA) team and owns front desk operations across our clinics. This is a hands on leadership position for someone who knows medical office work from the inside and is ready to build the systems, standards, and team that support it. You will report directly to our Chief Operating Officer / Chief Financial Officer and work closely with our clinic directors and billing team. Insurance verification is the heart of this job. If you are the person who catches the benefit issue before the patient walks in, you will do well here. This is also a high volume phone environment. Our front desk fields a steady stream of patient calls alongside walk ins, intake, and verification work. The Office Manager sets the standard for how those calls get handled and makes sure the team is covered when volume spikes. Staying organized under that kind of pace is the difference between a desk that runs and a desk that reacts. What You Will Own Team leadership Hire, train, schedule, and develop the PCA team across all 3PT locations. Set and maintain front desk standards so the patient experience is consistent at every clinic. Run onboarding and ongoing training for new PCAs, including EMR, scheduling, and insurance workflows. Coach to performance, handle day to day personnel matters, and escalate appropriately. Build coverage plans for PTO, callouts, and clinic volume swings. Insurance verification and authorization Own insurance verification for every new patient so benefits, deductible status, visit limits, and patient responsibility are accurate before the first visit. Own prior authorization end to end, including initial authorizations, re-authorizations during an episode of care, and tracking authorized visits against visits used. Manage workers' compensation and personal injury cases at the front end, including claim and case verification, adjuster and nurse case manager coordination, attorney communication, and the documentation each requires on their timeline. Partner with billing on front end denials, eligibility errors, and documentation gaps. Patient experience and front desk operations Provide excellent customer service to all patients and hold the team to the same standard, in person and on the phone. Manage inbound patient call volume across the clinics. Build phone coverage plans, set call handling standards, and make sure calls are answered promptly and voicemails returned same day. Triage and resolve escalated patient calls, including scheduling conflicts, benefit questions, and billing inquiries. Own patient onboarding, intake forms, scheduling, and billing inquiries. Drive point of service collections, copay accuracy, and patient balance conversations. Track and improve front desk metrics including arrival rate, cancellation and no show rate, referral to evaluation conversion, time from referral to first visit, and call answer and return times. Systems and process Maintain and improve standard operating procedures for all front office functions. Use our internal operations tools and reporting to monitor performance and act on it. Support audits, payer requirements, and HIPAA compliance at the front desk. Requirements Must be 18 years or older with a high school diploma or GED. Three or more years of medical office experience with hands on insurance verification and benefit interpretation. Exceptional organizational skills. You keep multiple patients, deadlines, and open items straight at once, nothing falls through, and you build systems so your team can work the same way. Proven ability to manage high patient call volume while juggling intake, scheduling, and verification work without letting anything drop. Strong multitasking and problem solving skills are essential to this role. Demonstrated experience obtaining prior authorizations and managing visit authorizations through the course of care. Working knowledge of workers' compensation intake and billing requirements, including claim setup, adjuster and nurse case manager coordination, and network or provider manual requirements. Working knowledge of personal injury and letter of protection cases, including attorney communication, lien and LOP tracking, and medical record and itemized statement requests. One or more years supervising or leading a team. Proficient with Google Workspace. Comfortable with EMR and practice management systems. Reliable transportation and willingness to travel between clinic locations. Preferred Experience in physical therapy, outpatient rehab, or a multi site practice. Familiarity with commercial and Medicare front end requirements, including secondary and supplemental coverage. Associate's or Bachelor's degree.
