Look no further! Classic Grpahics, a vibrant printing and marketing company, is on the lookout for an enthusiastic Office Manager/Administrative Assistant to join our team.
Key Responsibilities:
Reception and Customer Communication:
Greet clients and visitors with a warm and welcoming demeanor. Manage incoming calls, inquiries, and emails, providing excellent customer service.
Invoicing and Payroll Processing:
Prepare and submit client invoices accurately and in a timely manner. Assist in processing payroll and maintaining employee records. Experience with Quickbooks is a plus!
Job Order Management:
Efficiently submit and organize job orders, ensuring smooth workflow. Collaborate with production team to meet deadlines and exceed customer expectations.
Inventory Tracking:
Monitor and manage inventory levels, reordering supplies as needed. Coordinate with suppliers to ensure timely delivery of materials.
Accounts Receivable and Payable:
Oversee accounts receivable and payable functions, reconciling accounts regularly. Work closely with the finances to maintain accurate financial records.
Vendor Management:
Negotiate with vendors to lower costs and improve terms. Build and maintain positive relationships with suppliers.
General Office Management:
Ensure the smooth day-to-day operations of the office. Implement and improve office policies and procedures.
Qualifications:
Proven experience in office management or a related role is a plus but not required. Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite and basic accounting software. Ability to work independently and collaborate effectively with a diverse team.
