ARE YOU THE PERSON WHO KEEPS EVERYTHING RUNNING?
Our crews put roofs on houses. You make sure every one of those jobs is permitted, invoiced, warrantied and closed out the right way. If you're a person who loves being a team player and keeping things organized, we want to talk to you. Better Way Roofing is hiring a full-time Office Administrator in Shipshewana, IN.
WHO WE ARE
Better Way Roofing installs metal and shingle roofs with our own in-house crews, backed by over a decade of experience, and we are growing into siding. Our flagship offerings are metal roofs and Duration shingles with SureNail Technology. We care about doing what we say, taking care of the homeowner long after the crew leaves, and building a team that owns its work. The office is where that promise is kept.
WHAT YOU'LL DO
You own the back office from signed contract to final closeout. 1.
Pull permits:
Submit and track building permits with local townships, towns and counties so no crew is held up. 2.
Project invoicing:
Send accurate invoices at each billing stage, match them to the contract and change orders, and follow up on open balances. 3.
File warranties:
Register manufacturer warranties (metal roofing, Duration and others) and our workmanship warranty for every finished job, and send the homeowner their copies. 4.
Project closeout:
Confirm final photos, final payment and paperwork are complete, then close the job in JobNimbus. 5.
Referral payments:
Check every job to see if it came from a referral, and send the referral payment once the job qualifies. 6.
Vendor insurance certificates:
Keep a current certificate of insurance (COI) on file for every vendor and subcontractor, and request renewals before they expire. 7.
Payroll:
Collect and check time, process payroll on schedule and keep payroll records in order. 8.
IT:
Be the first call for computers, phones, printers, software logins (JobNimbus, CompanyCam, email) and new-hire account setup. 9.
Sales literature stocked:
Keep brochures, samples, forms and leave-behinds stocked for the office and every Project Advisor, and reorder before we run out.
WHAT YOU NEED
- 2+ years of office, bookkeeping or admin experience (construction or trades a big plus)
- Comfortable with payroll, invoicing and basic accounting software
- Handy with computers and not afraid to troubleshoot a printer or reset a password
- Organized to the point that deadlines and expiration dates don't slip
- Clear, friendly communicator with homeowners, vendors, township offices and crews
- Able to keep confidential information (pay, customer data) private
- Valid driver's license for occasional trips to permit offices or suppliers

THE HONEST TRUTH
This job wears a lot of hats. On a busy day you might pull two permits, run payroll, chase a vendor's expired insurance certificate and fix a frozen laptop before lunch. Roofing is seasonal, so spring through fall gets hectic and the pace picks up. If you like variety and hate loose ends, you'll love it. If you want one task all day, this isn't the job for you.
