Job Summary The Office Administrator is responsible for supporting daily office operations in a manufacturing environment. Key duties include managing customer and vendor communications, order entry, billing, invoicing, payroll reporting/ Time adjustments, and general administrative recordkeeping. The role requires strong organizational skills, attention to detail, and the ability to handle multiple priorities efficiently while maintaining professionalism in all interactions Duties Support front office operations, including phones, visitors, email, mail, document handling, recordkeeping, and utilizing our ERP system. Enter and maintain customer orders, including pricing, quantities, due dates, job folders, acknowledgments, and order changes. Coordinate receiving and billing by verifying shipments, packing slips, invoices, freight, quantities, and related documentation. Process vendor invoices by matching receivers, PO information, invoice details, charges, discounts, and recurring manual invoices. Maintain electronic job files with customer orders, quotes, drawings, emails, acknowledgments, and notes. Use customer and vendor portals as needed for invoicing, credits, acknowledgments, and order processing. Track and update recurring administrative reports, spreadsheets, and related company records. Prepare payroll attendance reports, review time records, account for lunch and shift adjustments, and send payroll information to the appropriate contacts. Process check payments and cash receipts, verify payment details, and assist with remote bank deposits. Communicate professionally with customers, vendors, and internal team members to resolve discrepancies, follow up on missing information, and support daily workflow.
Requirements:
o Strong communication, organization, time management, and attention to detail. o Ability to manage multiple priorities, follow processes, and maintain accurate records. o Proficiency with Microsoft Office, Outlook, Excel, shared drives, and web-based systems. o Experience with ECI JobBoss² (our ERP system), ERP systems, billing, invoicing, receiving, or manufacturing office administration preferred.
Pay:
$18.00 - $25.00 per hour
