Job Description

Overview We are seeking a dynamic and highly organized Office Administrator with extensive QuickBooks Online and Accounting experience to join our team and ensure the smooth operation of our office environment. This vital role involves managing daily administrative tasks, coordinating office activities, and supporting team members across various departments. The ideal candidate will bring enthusiasm, excellent communication skills, and a proactive approach to office management, fostering a productive and welcoming workplace. Duties Oversee daily office operations, including front desk management and multi-line phone systems, ensuring efficient communication and visitor handling Coordinate scheduling for meetings, appointments, and events, utilizing calendar management tools to optimize team productivity Manage vendor relationships by processing invoices, overseeing supply orders, and ensuring timely delivery of office essentials Support human resources functions such as onboarding new staff, maintaining personnel files, and assisting with training & development initiatives Handle bookkeeping and basic accounting tasks using QuickBooks Online to maintain accurate financial records Assist with payroll processing, budgeting activities, and expense tracking to ensure financial accuracy and compliance Organize filing systems—both digital and physical—and maintain records for medical office management or other specialized departments as needed Experience Proven experience in office administration or related clerical roles within a professional environment Supervising experience is highly desirable, demonstrating leadership in managing teams or projects Strong proficiency with QuickBooks Online for bookkeeping Excellent organizational skills with the ability to multitask effectively in a fast-paced setting Demonstrated experience in event planning and vendor management to support organizational initiatives Effective communication skills with professional phone etiquette and the ability to liaise confidently across departments Background in office management and/or accounting is required Join us as an Office Administrator and be at the heart of our organization's success!
