Job Description

Summary of Position The Office Manager oversees daily administrative and operations workflows, ensuring an organized, efficient workplace. Key responsibilities include financial recordkeeping in QuickBooks, budget tracking, high-level clerical management, and executive support. The Office Manager serves as the primary point of contact for office operations and reports directly to the Executive Director. Essential Duties and Responsibilities Financial & Budgetary Management Maintain accurate financial records, accounts payable/receivable, mileage and reimbursements, and invoicing utilizing QuickBooks. Assist the Executive Director with annual budget development, tracking department expenses, and monitoring operational costs. Process vendor invoices, reconcile credit card receipts, and prepare routine financial summaries and ledger reports. Administrative & Clerical Operations Serve as the first point of contact for visitors, callers, and general inquiries while maintaining a professional and welcoming office environment. Oversee incoming/outgoing mail, parcel distribution, manage info@lariverparishes.com email and urgent interoffice communications. Maintain digital and physical file management systems, ensuring strict data accuracy, record completeness, and regulatory compliance. Monitor office supply inventories, negotiate with vendors for competitive pricing, and restock supplies efficiently. Operate and troubleshoot standard office equipment (printers, copiers, postage systems) and coordinate IT or facility maintenance requests. Executive Support & Special Projects Assist director and leadership with drafting correspondence, preparing presentations, and compiling reports using MS 365 and templates. Attend Commission Board and internal meetings; record minutes, track action items, maintain attendance logs, support the RPTC Chairman and Commissioners, prepare meeting documentation, distribute notes, and maintain public notice records. Organize team calendars, conference rooms, schedule meeting logistics, set up public notices and assist in coordinating organizational events. Education and Experience Associate degree required. Bachelor's degree in Accounting, Business, Finance, or a related field preferred. 3-5 years of demonstrated experience in office management, administrative operations, payroll, travel administration, assisting with annual audits and/or bookkeeping. Proficiency in QuickBooks (Desktop or Online) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), One Drive and Tempest input and management. Additional Requirements Ability to prepare and maintain financial reports, vendor files, W-9's, contracts, insurance certificates, procurement processes and records, monitor budgets, identify variances, and maintain accurate financial records. Strong organizational, multitasking, and problem-solving skills with a focus on process optimization and efficiency. Excellent written and verbal communication skills, including precise editing, grammar, and proofreading abilities. Professional customer service orientation with strong interpersonal skills to interface effectively with stakeholders, guests, and staff. Must be able to lift up to 25 pounds and perform routine office-related physical activities. Perform other duties and special projects as assigned by the Executive Director.

Compensation & Work Environment Pay & Salary Pay Range:

$45,000

•$50,000 per year
