It has been designed to care for children and their families in a personal and compassionate manner. The practice is built on a model of holistic care where a child's physical, developmental, emotional, mental and spiritual needs are valued while providing education, support and parental advice. Position Overview Kids on the Common Pediatrics is seeking an experienced Medical Practice Office Manager to oversee day-to-day operations of our pediatric practice. The ideal candidate will supervise front-office workflows, staff scheduling, employee benefits, billing/revenue cycle management, regulatory compliance, provider credentialing to ensure an exceptional patient experience.
Oversee daily front-office and administrative workflows (reception, patient check-in/out, medical records, and call handling). Maintain high standards of patient/family satisfaction and resolve complaints or concerns promptly. Point of Contact for answering service and after hours nurse triage service.
Staff Management & Leadership:
Recruit and hire clinical and administrative staff. Manage staff schedules, timecards, and coverage. Foster a positive team culture.
Financial & Revenue Cycle Oversight:
Oversee patient registration, insurance verification, co-pay collections, and billing practices. Manage practice purchasing and maintain inventory for office and non-clinical supplies. Monitor key operational and financial metrics (e.g., patient volume, missed appointments, billing cycles). Point of contact with third party billing staff. Point of contact with MCN representatives.
Compliance & Regulatory Management:
Ensure full compliance with HIPAA, OSHA, state medical board standards, and pediatric care regulations. Maintain up-to-date provider credentialing, licensing, and liability insurance records. Point of contact with credentialing staff, health insurance provider relations, Athena representatives, (EHR), and other outside vendors.
Qualifications & Skills Experience:
3+ years of medical office management experience (experience in a pediatric or family medicine practice strongly preferred).
Education:
Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred.
Technical Skills:
Proficiency with Electronic Health Records (EHR) systems (e.g., Epic, eClinicalWorks, AthenaHealth) and practice management software.
Knowledge:
Strong understanding of medical billing, commercial/Medicaid insurance, copays, and healthcare regulatory compliance (HIPAA/OSHA).
Soft Skills:
