Overview Join our dynamic team as an Office Administrator and Receptionist specializing in Multifamily property management! Duties Greet residents, visitors, vendors, and contractors with professionalism and warmth at the front desk Manage multi-line phone systems, directing calls accurately and courteously Maintain a clean, organized reception area and manage incoming mail and packages Handle data entry, filing, and recordkeeping using Microsoft Office and Google Workspace tools Assist with office management tasks such as calendar scheduling, appointment setting, and supply inventory Support property management staff with clerical duties including proofreading documents and preparing correspondence Provide exceptional customer service by addressing inquiries promptly and professionally Perform basic bookkeeping using QuickBooks for rent collection and expense tracking Manage phone etiquette standards to ensure clear communication with residents and vendors Support administrative functions related to leasing activities, resident relations, and community events Requirements Proven office experience with strong clerical skills and familiarity with office management software Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace Experience operating multi-line phone systems with professional phone etiquette Bilingual abilities are highly desirable to serve diverse resident populations effectively Strong organizational skills with keen attention to detail in data entry, proofreading, and filing tasks Ability to manage time efficiently while handling multiple priorities in a fast-paced environment Previous experience in customer service or reception roles within multifamily housing or property management preferred Knowledge of QuickBooks or bookkeeping experience is a plus Personal assistant or medical/dental receptionist experience can be advantageous for supporting administrative needs Join us to make a positive impact on our community through energetic service and efficient office operations!
