Job Description

Position Overview The Office Manger oversees administrative, financial support, and compliance functions for our organization. This position reports directly to the President and works closely with upper management and division managers to support daily operations, financial administration, compliance activities, and internal coordination. The Office Manager must be a proactive professional with strong organizational skills, sound judgment, and the ability to manage multiple priorities while handling confidential information with discretion. Key Responsibilities Office & Administrative Operations Oversee daily office operations to ensure efficiency, organization, and professionalism utilizing direct report personnel. Maintain physical and electronic filing systems, including administrative, financial, HR, and compliance records Manage procurement of office, safety, and operational supplies Coordinate logistics for management meetings, internal events, and board‑related activities Financial & Accounting Support Administer accounts payable and accounts receivable processes Monitor past‑due accounts and coordinate follow‑up communications Manage company credit card and fuel card programs, including reconciliation and coding Maintain petty cash funds and required documentation Prepare financial spreadsheets, reports, and comparative data for management Assist with month‑end, year‑end close, and annual audit activities Contracts, Purchasing & Business Support Track purchase orders, contracts, and vendor documentation Monitor contract and PO expirations and alert management as needed Verify vendor invoices and chargeback discrepancies Assist leadership with business plan preparation and administrative documentation Compliance, Safety & Licensing Maintain employee training records and compliance documentation Coordinate safety training and ensure required reporting is complete Enter and maintain OSHA, ISN, and other regulatory data Coordinate employee licensing processes and documentation Human Resources Support Process employment and unemployment verification requests Provide administrative support to HR functions as assigned Qualifications

  • Associate's degree or 3-5 years of relevant account, business development or client services management experience.
  • Experience managing multiple client sites and geographical regions
  • Supervisory or leadership background.
  • Strong organizational, analytical, and communication skills.
  • Time management has a critical role in this position.
  • Ability to manage multiple priorities effectively.
  • Clean MVR, background check, and drug screen required.
  • Valid Current Driver's license
General Requirements:

Required

  • Associate's degree or 3-5 years of relevant account, business development or client services management experience.
  • Bachelor's degree or equivalent combination of education and experience
  • Proven experience in office management, administrative leadership, or financial administration Working knowledge of accounts payable and accounts receivable processes Strong proficiency with Microsoft Office and spreadsheet applications Excellent organizational, communication, and problem‑solving skills Ability to work independently and manage confidential information Preferred Experience supporting executive leadership or upper management Experience with regulatory compliance, safety programs, or licensing processes Prior experience assisting with audits or financial reporting Skills & Competencies Administrative leadership and coordination Financial accuracy and attention to detail Compliance and risk awareness Strong interpersonal and communication skills Time management and prioritization Independent judgment and decision‑making Eligibility pre-employment: • Must pass drug test.

Physical Requirements:
  • Ability to lift and or move objects up to 50 lbs.
Pay:

$23.00 - $24.00 per hour Expected hours: 40.0 per week
