Job Description

Job Overview We are looking for a dynamic and experienced Office Manager with strong bookkeeping expertise to drive organizational success. The Office Manager is responsible for overseeing the daily operations of the office to ensure efficiency and productivity. The ideal candidate will lead all aspects of human resources, including talent acquisition, employee relations, compliance, and performance management, while fostering a positive workplace culture and ensuring operational excellence. In addition to HR responsibilities, this role requires proficiency in bookkeeping to maintain accurate financial records and support the company's financial health. Key duties include managing accounts payable and receivable, reconciling bank statements, processing payroll, and preparing detailed financial reports. The successful candidate will demonstrate a proactive approach, deep knowledge of labor laws, and strong analytical skills to ensure compliance with both HR and accounting standards. Duties Manage day-to-day office operations. Maintain office supplies and inventory. Organize and file documents (physical and digital) Schedule meetings, appointments, and travel arrangements. Develop and implement HR strategies aligned with organizational goals, including succession planning and organizational design. Source, interview, and hire qualified drivers, dispatchers, and support staff. Manage driver qualification files and maintain up-to-date records. Ensure compliance with DOT (Department of Transportation) regulations during hiring. Implement retention strategies to reduce driver turnover. Ensure compliance with employment & labor law, OSHA regulations, Workers' Compensation policies, and other legal requirements. Administer benefits programs including health insurance, retirement plans, and other employee benefits using systems like ADP or Paychex. Coordinate drug and alcohol testing programs as per FMCSA requirements. Develop ongoing training programs for drivers on safety, customer service, and regulations. Ensure accurate payroll processing for drivers with variable hours and mileage. Create and update HR policies specific to trucking operations. Ensure policies align with DOT, FMCSA, and labor law requirements. Maintain accurate records of all financial transactions. Process vendor invoices and ensure timely payments. Prepare and send customer invoices; track and follow up on outstanding payments. Reconcile bank statements with company records monthly. Calculate employee wages, deductions, and benefits. Ensure timely and accurate payroll distribution. Monitor and categorize company expenses. Assist in preparing budgets and forecasts. Use accounting software (QuickBooks) for data entry and reporting. Skills Extensive knowledge of employment & labor law, FMLA, OSHA regulations, and Workers' Compensation policies. Deep understanding of
DOT , FMCSA
, and state transportation regulations. Familiarity with drug and alcohol testing requirements and driver qualification standards. Ability to source and hire qualified drivers and logistics staff. Strong skills in reducing driver turnover through engagement and retention strategies. Knowledge of safety protocols and ability to implement driver training programs. Proficiency in handling complex payroll structures (mileage, hourly, per diem). Understanding of benefits programs tailored for drivers and office staff. Competence in benefits administration, payroll processing systems (Paychex, ADP), budgeting, and process improvement methodologies. Strong interpersonal skills to manage driver relations and resolve disputes. Skilled in managing multiple priorities in a fast-paced environment. Ability to maintain accurate financial records and spot discrepancies quickly. Strong understanding of basic accounting principles and financial data analysis. Efficient in managing multiple accounts, invoices, and deadlines simultaneously. Skilled in tools like QuickBooks , or other bookkeeping platforms. Competent in using spreadsheets (Excel or Google Sheets). Ability to prioritize tasks and meet strict reporting deadlines. Capable of resolving discrepancies and handling unexpected financial issues. Commitment to safeguarding sensitive financial information.
Pay:
$60,000.00 - $70,000.00 per year
