Job Description

We are seeking a dependable, organized, and personable Front Desk / Office Manager to join our growing tax and accounting office. This position serves as a key point of contact for our clients and plays an important role in keeping the office organized and running smoothly. The ideal candidate is professional, friendly, detail-oriented, comfortable working with clients, and able to manage multiple responsibilities throughout the day. This position will include front desk and administrative responsibilities, as well as assisting with client bookkeeping, payroll, tax preparation, and general office support . The position may also include personal assistant and errand-type responsibilities related to the operation of the business, including picking up or delivering tax documents, making local business-related deliveries, and assisting with other tasks as needed. Key Responsibilities Front Desk & Client Service Greet and assist clients in a professional and friendly manner. Answer, screen, and direct incoming phone calls. Respond to client questions and route requests to the appropriate team member. Manage client appointments, schedules, and office communications. Receive, organize, scan, and distribute client documents. Maintain confidentiality and handle sensitive client information appropriately. Tax & Accounting Support Assist with tax preparation, tax return assembly, filing, and client document organization. Assist with client bookkeeping and maintaining accurate financial records. Assist with client payroll processing and related administrative tasks. Enter and organize financial information using accounting and tax software. Follow up with clients regarding missing information and documentation. Provide general administrative support to tax preparers and accounting staff. Office Management & Administrative Duties Keep the office organized and maintain an efficient workflow. Order and maintain office supplies as needed. Assist with mail, scanning, filing, printing, copying, and other office tasks. Help coordinate deadlines and ensure client work is properly tracked. Assist with general business administration and other duties as assigned. Personal Assistant / Local Errand Duties Pick up and/or deliver tax documents and other business-related materials to clients or other locations. Make occasional local business-related deliveries or pickups. Assist with scheduling, organizing, and completing miscellaneous tasks that help keep the office and business operating efficiently. Other personal assistant-type duties may be assigned as needed. Qualifications High school diploma or equivalent required; additional education or experience in accounting, finance, or business is a plus. Previous front desk, administrative, office management, bookkeeping, payroll, or tax experience preferred. Strong organizational and multitasking skills. Excellent communication and customer service skills. Professional and friendly demeanor. Strong attention to detail and accuracy. Ability to handle confidential financial and personal information. Proficiency with Microsoft Office, including Word, Excel, and Outlook. Familiarity with QuickBooks, payroll software, tax software, or other accounting systems is a plus. Ability to work independently while also being a team player. Valid driver's license and reliable transportation preferred due to occasional local document pickup and delivery responsibilities. Ability to prioritize changing tasks and meet deadlines in a busy office environment. Schedule This is a part-time, year-round position , with the expectation that the position will transition to full-time hours during tax season . Tax season is our busiest time of year, and candidates must be comfortable working additional hours and maintaining a consistent schedule during this period.
