Job Description

The Cam Clark Auto Group is seeking a highly motivated and detail-oriented Office Administrator to join our team at Bison Ford in Great Falls, MT. With over 20 dealerships and car service locations stretching across Alberta, British Columbia, Washington, Montana, and California; the Cam Clark Auto Group is an industry leader in providing outstanding customer experience since 1987, while also striving to offer an amazing employee experience as well! Reporting to the Office Manager, the Office Administrator supports daily office operations with a focus on payroll administration, employee onboarding, benefits administration, and accounting processes. This role is responsible for processing payroll accurately and on time, assisting with new hire onboarding, administering employee benefits, supporting accounts payable and accounts receivable functions, and responding to employee and management inquiries.
Responsibilities:
Coordinate employee onboarding activities, including completion of required employment documentation, timely Form I-9 employment eligibility verification and recordkeeping, orientation, and system access setup in compliance with federal, state, and company requirements. Assist with the administration of employee benefit programs, including enrollments, changes, terminations, reconciliations, and employee communications. Process payroll for hourly, salaried, and commissioned employees in compliance with applicable U.S. federal, Montana state, and company requirements. Prepare and review payroll entries, validate payroll registers, calculate deductions, process garnishments as required, and ensure payroll accuracy. Investigate and resolve payroll, benefits, and employee record discrepancies while maintaining confidentiality and accuracy. Process accounts receivable (A/R) and accounts payable (A/P) transactions, including data entry, reconciliations, and reporting. Assist with year-end payroll and benefits activities, including reconciliation, reporting, and preparation of required documentation and filings. Maintain accurate, organized, and secure payroll, benefits, and personnel records in accordance with applicable recordkeeping and privacy requirements. Generate and reconcile payroll and accounting reports for management review and decision-making support. Respond to employee and management inquiries in a timely, professional, and customer-focused manner. Collaborate with the Office Manager and department managers to support daily dealership operations and administrative functions.
Qualifications:
Minimum of three (3) years of payroll processing, accounting, or related administrative experience. Working knowledge of U.S. payroll practices, wage and hour requirements, payroll taxation, and applicable federal and Montana employment-related regulations. Working knowledge of Form I-9 requirements, employment eligibility verification procedures, and personnel recordkeeping practices. Experience with BambooHR is considered an asset. Experience working with a Dealer Management System (DMS), preferably Dealertrack, is considered an asset. Experience administering employee benefit plans. Proficiency in Microsoft Office Suite, including strong Microsoft Excel skills. Exceptional attention to detail, accuracy, organization, and time management. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Strong analytical, problem-solving, communication, and interpersonal skills. Demonstrated professionalism and the ability to handle confidential information with discretion. Must be able to successfully complete a pre-employment background check, drug screen, and alcohol test as a condition of employment.
