Job Description

Job Overview:
We are seeking a friendly and highly organized Office Administrator to join our small team and ensure the smooth operation of our office and visitor center. The ideal candidate will have tourism experience, knowledge of Microsoft products, social media platforms, working with city or county government, and fostering a productive and welcoming environment. The Office Administrator supports Visit Elizabeth City's office procedures, marketing, funding, board meetings, and accounts payable, that align with the organization's mission to promote overnight lodging and positive visitor experiences in Elizabeth City and Pasquotank County, North Carolina. This position reports to the Director and works from the Visit Elizabeth City office, 400 S. Main St. Suite 100.
About Visit Elizabeth City:
The Elizabeth City-Pasquotank County Tourism Development Authority (TDA) is a North Carolina Public Authority doing business as Visit Elizabeth City (VEC). As our community's Destination Management Organization (DMO), Visit Elizabeth City plays an essential role in attracting overnight travelers and funding events/organizations that attract tourists. The team at Visit Elizabeth City is responsible for promoting the City and County through marketing campaigns, media relations, and collaborating with community partners.
Duties:
Prepare for monthly TDA board meeting and three committee meetings that include creation of agendas, record meeting minutes, prepare boardroom, media equipment, and send meeting invitations Serve as direct liaison with contracted accounting firm Review and code invoices and coordinate bi-monthly payment of bills Perform all banking activities in conjunction with the Director Greet Visitor Center guests in person and by phone Respond to inquiries drawing upon extensive knowledge of the area Reply to website visitor inquiries Maintain database of visitor inquiry contacts Maintain inventory of visitor related brochures, maps, etc.. Manage the information kiosk at Mariners' Wharf Communicate with regional organizations that stock VEC brochures Assist with updates to VEC brochure content, maps, etc… Prepare new employee and new board member onboarding materials Communicate employee vacation and sick leave balances to accounting firm Assist accounting firm with NC Local Government Commission (LGC-203) reports Direct liaison with all contractors of office equipment, computers, phones, etc.. Maintain office supplies With the director, manage the logistics and operational needs of any event like fishing tournaments and Hot Cocoa Crawl Communicate with multiple Elizabeth City departments: Parks & Recs, Planning, Fire, Police, Health, NC DOT, to secure permits, road closures, security, wi-fi, etc.. If needed, secure event vendors, local business participation, track registrations, greet at set-up or tear-down, monitor for positive experiences, gather post-event results If needed, be on site early mornings or late nights to ensure smooth logistics If needed, assist marketing team with website updates, social media posts, analytics. Perform other related work as required to meet the evolving needs of Visit Elizabeth City and to meet the mission of the organization
Qualifications:
Interest in or exposure to tourism, hospitality, marketing, or communications Dress for business with a friendly, helpful, and can-do demeanor Proven experience in office management or administrative roles Ability to manage multiple projects, meet deadlines, and work independently while contributing positively to a small team Attention to details and accuracy Proper grammar, excellent writing, and communication skills Proficiency with Microsoft Word, Office (Excel, Power Point), Outlook Calendar, Teams/Zoom calls, Phone systems and knowledge of AV Equipment If needed, assist marketing team with Adobe Creative Suite (InDesign, Illustrator, Photoshop), Canva, and posting to social media platforms Facebook, Instagram Familiarity with basic website content management and analytics Benefits &
Compensation:
Salary range: $45,000 to $55,000 State retirement (6% auto-invested), Optional employee paid County 401K Employer-paid health insurance, Optional employee paid dental and vision County sick leave and paid holidays Employee-earned vacation days Position is based in the Visit Elizabeth City offices (non-remote)
