Role:
The Office Administrator plays a pivotal role in ensuring the smooth and efficient operation of the office environment. This position is responsible for managing administrative tasks that support project teams, vendors, and clients, thereby contributing to the overall success of construction projects. The role requires coordinating communication, maintaining accurate records, and organizing office resources to facilitate seamless workflow. The Office Administrator acts as a central point of contact for internal and external stakeholders, ensuring timely information exchange and problem resolution. Ultimately, this position helps create an organized, productive, and compliant office atmosphere that supports the company's operational goals and project deadlines.
Minimum Qualifications:
High school diploma or equivalent required. Proven experience in office administration, preferably within the construction or related industry. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment operation. Strong organizational skills with the ability to manage multiple tasks and deadlines effectively. Excellent written and verbal communication skills.
Preferred Qualifications:
Knowledge of construction industry terminology, processes, and compliance standards. Ability to work independently and as part of a multidisciplinary team.
Responsibilities:
Manage daily office operations including scheduling, correspondence, and office supply inventory to maintain an organized work environment. Coordinate communication between project managers, contractors, suppliers, and clients to ensure clarity and timely updates. Handle incoming calls, emails, and inquiries, directing them appropriately and providing excellent customer service. Assist with sales software to support financial accuracy and accountability.

The required skill of office organization is essential for managing the flow of information, resources, and documentation critical to construction projects. Daily, the Office Administrator uses organizational skills to prioritize tasks, maintain accurate records, and ensure that office supplies and equipment are readily available. Communication skills are employed to liaise effectively with project teams, vendors, and clients, facilitating smooth operations and timely problem resolution. Proficiency with software tools supports the creation and management of reports, schedules, and correspondence, enhancing productivity and accuracy. Preferred skills such as familiarity with construction-specific software and bookkeeping enable the administrator to contribute more deeply to project tracking and financial processes, further supporting the company's operational success.
