$25.00 - $32.00 per hour Position Summary Almond Glass Works, a local family owned and operated company for over 100 years, has an excellent full-time opportunity for an Office Administrator & Bookkeeper . This position plays a key role in supporting the daily operations of the office by managing accounts receivable, bookkeeping, administrative functions, and project support. The ideal candidate is dependable, customer-service oriented, and comfortable working in a fast-paced construction environment while balancing multiple priorities. Essential Functions
Perform general bookkeeping and accounts receivable functions, including preparing invoices, processing payments, and maintaining accurate records.
Assist Project Managers with preparing quotes, proposals, contracts, and other project-related documentation.
Maintain and update purchase orders, job files, and project documentation to ensure accuracy and organization.
Answer and direct incoming telephone calls, greet visitors, and provide professional front-office support.
Assist with processing internal payroll, including preparing Certified Payroll Reports and required union manning reports.
Distribute incoming mail, coordinate outgoing correspondence, maintain filing systems, and order office supplies as needed.
Prepare, organize, and maintain administrative, accounting, and project records while ensuring confidentiality and accuracy.
Utilize Sage 100 and Microsoft Office (Word, Excel, and Outlook) to support daily accounting, reporting, and administrative functions.
Provide general administrative and operational support to management and other team members while contributing to the efficient day-to-day operation of the office.
Knowledge, Skills & Abilities Strong bookkeeping and accounting aptitude. Excellent customer service and interpersonal skills. Experience supporting construction projects, certified payroll, or union reporting is highly preferred. Ability to maintain confidentiality and handle sensitive financial information. Ability to prioritize work independently while supporting multiple team members. Proficiency in Microsoft Word, Excel, Outlook, and Sage 100. Required Education and Experience High school diploma or equivalent required; associate's degree in accounting, business administration, or related field preferred. 3-5 years of bookkeeping, accounting, or related office administration experience. Experience working with Sage 100 required. Proficiency with Microsoft Office Suite, particularly Word and Excel.
