In-Office Hourly Pay Range:
$25.00 - $32.00 per hour Position Summary Almond Glass Works, a local family owned and operated company for over 100 years, has an excellent full-time opportunity for an Office Administrator & Bookkeeper . This position plays a key role in supporting the daily operations of the office by managing accounts receivable, bookkeeping, administrative functions, and project support. The ideal candidate is dependable, customer-service oriented, and comfortable working in a fast-paced construction environment while balancing multiple priorities. Essential Functions- Perform general bookkeeping and accounts receivable functions, including preparing invoices, processing payments, and maintaining accurate records.
- Assist Project Managers with preparing quotes, proposals, contracts, and other project-related documentation.
- Maintain and update purchase orders, job files, and project documentation to ensure accuracy and organization.
- Answer and direct incoming telephone calls, greet visitors, and provide professional front-office support.
- Assist with processing internal payroll, including preparing Certified Payroll Reports and required union manning reports.
- Distribute incoming mail, coordinate outgoing correspondence, maintain filing systems, and order office supplies as needed.
- Prepare, organize, and maintain administrative, accounting, and project records while ensuring confidentiality and accuracy.
- Utilize Sage 100 and Microsoft Office (Word, Excel, and Outlook) to support daily accounting, reporting, and administrative functions.
- Provide general administrative and operational support to management and other team members while contributing to the efficient day-to-day operation of the office.
