Job Description

We are partnering with a well-known organization in Ballston Spa looking for a dependable and detail-oriented Office Manager to join their growing team! This is an excellent opportunity for an experienced accounting professional who enjoys taking ownership of financial processes, solving problems, and ensuring things are done accurately the first time.

This role goes beyond basic bookkeeping. The ideal candidate will bring strong accounting knowledge, with several years of hands-on QuickBooks Online expertise, and experience managing financial data tied to multiple projects and job costing environments. Accuracy is critical, as financial information directly impacts project tracking, reporting, commissions, and day-to-day business operations.

What You'll Be DoingManage full-cycle accounts payable, including invoice processing, coding, vendor payments, and maintaining accurate recordsProcess payroll and perform daily bookkeeping activities using QuickBooks OnlineAccurately record customer payments, deposits, and financial transactions in a timely mannerMaintain job costing records and ensure expenses are properly allocated to the correct projectsPerform bank and account reconciliations and investigate discrepancies as neededSupport accounts receivable activities and assist with tracking outstanding balancesPrepare and assist with monthly and quarterly sales tax reportingMaintain organized digital and physical financial records and documentationPartner with project managers and office leadership to answer questions, resolve issues, and provide financial supportAssist with improving processes, recordkeeping practices, and overall accounting efficiencySupport general administrative and office operations as neededWhat We're Looking ForStrong bookkeeping and accounting experience with a solid understanding of financial processesRecent, hands-on QuickBooks Online experience is requiredExperience with job costing and project-based accountingStrong understanding of accounts payable, payroll, reconciliations, and general ledger activityAbility to identify errors, troubleshoot issues, and maintain a high degree of accuracyComfortable working independently and taking initiative when issues ariseExcellent organizational, communication, and problem-solving skillsExperience supporting small business or construction/project-based environments is highly preferredWhy This Opportunity?
