Job Description

Overview We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing daily administrative tasks, coordinating schedules, overseeing vendor relationships, and supporting team members across various departments. The ideal candidate will bring a proactive attitude, exceptional communication skills, and a passion for creating an efficient and welcoming workplace. In this role, you will be the backbone of our office operations, driving productivity and fostering a positive organizational culture. Responsibilities Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and courtesy Coordinate scheduling for meetings, appointments, and events to optimize team productivity and resource allocation Oversee vendor management by negotiating contracts, processing invoices, and maintaining positive relationships with service providers Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with training & development initiatives Handle bookkeeping and basic bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records Assist with payroll processing, budgeting activities, and expense tracking to support financial planning efforts Maintain organized filing systems (both physical and digital), manage calendar updates, and ensure timely completion of administrative tasks Requirements Proven experience in office management or administrative roles with strong clerical skills and organizational abilities Prior experience in event planning and coordinating company functions or meetings Familiarity with QuickBooks or comparable accounting software for bookkeeping and financial recordkeeping Demonstrated supervising experience or team management skills to oversee administrative staff or project teams Knowledge of human resources processes including onboarding, payroll, and employee record maintenance Excellent communication skills with professional phone etiquette and the ability to handle multiple priorities efficiently Strong organizational skills with attention to detail in filing, calendar management, and vendor relations Experience working in medical office management or similar healthcare environments is a plus but not required Join us in creating an energetic workplace where efficiency meets excellence!
