Job Summary:
Adkins Group is seeking a detail-oriented, organized, and dependable Office Administrator with a strong focus on preparing estimates, managing customer billing, and maintaining accurate account records. This position plays an important role in ensuring jobs are priced correctly, invoices are processed promptly, customer information is accurate, and completed work is billed appropriately. The ideal candidate is comfortable working with numbers, communicating with customers and field employees, managing multiple priorities, and following jobs through from the initial estimate to final invoicing and payment. Experience in office administration, billing, accounts receivable, or a service-based business is preferred. Primary Responsibilities Prepare accurate estimates and quotes for residential, commercial, and other sanitation and fence services. Gather job details from customers, field employees, and management to determine the scope of work. Use established pricing guidelines and company procedures to ensure consistent and accurate quotes and invoices. Communicate with customers regarding estimate details, pricing, service expectations, and scheduling. Refer unusual, complex, or out-of-scope jobs to management for pricing approval. Prepare and process daily invoices for residential, commercial, and other assigned service divisions. Record and apply customer payments accurately. Answer incoming phone calls and emails professionally and direct inquiries to the appropriate person. Maintain organized digital and physical filing systems. Assist with other office duties and administrative projects as assigned. Qualifications Strong attention to detail and numerical accuracy. Excellent organizational and time-management skills. Ability to manage multiple tasks and meet daily deadlines. Professional written and verbal communication skills. Comfortable using computers, email, spreadsheets, and business software. Ability to review documents carefully and identify discrepancies. Good judgment when handling customer concerns, pricing questions, and confidential information. Ability to work independently while communicating effectively with a team. Willingness to learn sanitation services, company pricing, and job requirements. Preferred Qualifications Previous experience with estimates, invoicing, billing, accounts receivable, or collections. Familiarity with accounting software, customer management systems, or job scheduling software. Work Environment This is an office-based position in a busy, family-run sanitation company. The role requires regular communication with customers, office personnel, management, and field employees. Priorities may change throughout the day, and the successful candidate must be able to adapt while maintaining accuracy and professionalism.
