Job Description

Overview Bartlesville Assisted Living is seeking a highly skilled and dynamic Business Office Manager to oversee the administrative and operational functions of our assisted living. The ideal candidate will possess some experience in medical office management, healthcare administration, and financial oversight. This role requires a proactive leader capable of managing teams, ensuring compliance with healthcare regulations, and optimizing practice efficiency. The Business Office Manager will serve as a vital link between assisted living staff, administrative personnel, residents, and families fostering a professional environment dedicated to excellence in healthcare delivery.
Reports to:
Administrator, Regional Administrator, Director of Operations Duties Oversee daily office operations, including phone messages, resident appointment scheduling, employee file management Manage Employee Payroll System, ensuring employee hours are recorded and documents are completed Coordinate human resources activities including hiring, training, performance evaluations, and staff development to promote a motivated and compliant team. Assist in supervising healthcare staff including administrative support personnel, ensuring adherence to HIPAA regulations and maintaining high standards of resident confidentiality. Ensure compliance with policies, state regulations, and managed care requirements across all practice activities. Utilize patient management software and electronic health record (EHR) systems to maintain accurate medical records and facilitate efficient patient flow. Foster excellent customer service by addressing resident and family inquiries professionally while maintaining a welcoming environment. Assisting in the coordination of any necessary third-party services necessary such as Home Health, Hospice, CME Equipment, Cable TV Issues, etc. Be comfortable assisting in touring new residents and families Works with corporate office to ensure documents are received Assisting in preparation of Audits Qualifications Proven experience in medical office management or healthcare practice management with a strong understanding of healthcare operations. Demonstrated supervisory experience managing teams within a healthcare setting; excellent managerial communication skills required. Familiarity with EMR/EHR systems such as Epic, eClinicalWorks, Dentrix, or similar platforms; familiarity with electronic health records (EHR) management essential. Knowledge of HIPAA regulations, medical terminology, medical records handling, and compliance standards Strong organizational skills with the ability to multitask effectively in a fast-paced environment; attention to detail is critical. Experience working within long term care or assisted livings preferred Excellent customer service skills coupled with the ability to communicate clearly with staff and patients alike. Familiarity with healthcare regulation policies including managed care and utilization management practices is highly desirable. Pay:
$18.00 - $20.00 per hour Expected hours: 32.0 - 40.0 per week
