Job Description

Office Administrator We are looking for a dependable, organized and computer-literate office professional who enjoys keeping things moving, communicating with people and making sure details do not fall through the cracks. This position is a good fit for someone who is comfortable working independently, enjoys organization and routine, and takes satisfaction in completing tasks accurately and on time. The right person is comfortable working on a computer throughout the day, communicating by phone and email, managing contracts and financial information, and supporting other members of the team. Responsibilities Answer phones and communicate professionally by phone and email Provide customer service and follow up on outstanding items Create, review, organize and maintain documents and electronic files Prepare contracts, agreements, forms and other office documents Track signatures, deadlines and required documentation Write checks and enter charges, credits and payments Review and verify account ledgers for accuracy Research and resolve basic discrepancies Assist with scheduling, calendars and recurring office workflows Maintain accurate records and organized filing systems Skills & Qualifications Strong computer skills and familiarity with Microsoft Outlook, Word and Excel Typing speed of 50+ WPM 3+ years dedicated office experience is a requirement Comfortable using email, PDFs and web-based software Professional and comfortable speaking on the phone Strong written communication and proofreading skills Detail-oriented and highly organized Comfortable working with numbers, ledgers and basic financial records Comfortable reading and preparing contracts and agreements Able to manage multiple tasks, deadlines and follow-up items Strong follow-through and problem-solving skills Able to work independently and as part of a team Dependable, punctual and willing to learn new systems The Person We're Looking For You probably enjoy this type of work if you like organized inboxes, completed checklists, balanced ledgers, correctly named files, complete contracts, accurate documents and tasks that actually get finished . You notice when something is missing. You remember to follow up. If a contract is missing a signature, a ledger does not balance, a charge looks wrong or a check needs to be processed, you do not simply move on and assume someone else will catch it. You understand that details matter—even the small ones—and that good administrative support often means taking care of something before someone else has to ask.
