EXPERIENCE
Past law firm experience required. Overview We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting team members, and enhancing overall productivity. The ideal candidate will bring a proactive attitude, excellent communication skills, and a strong background in office management to foster a welcoming and organized workplace.
Pay :
Salary will be the low end of that spectrum with performance based bonuses. Duties Manage day-to-day office operations, including supplies, equipment, and facilities maintenance to ensure a well-functioning workspace Serve as the primary point of contact for front desk duties, greeting visitors and managing incoming calls with professionalism and courtesy Coordinate calendar management, scheduling meetings, appointments, and events for staff and executives Handle data entry tasks accurately using spreadsheets and productivity software to maintain organized records Utilize QuickBooks and Clio for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping Oversee correspondence through Word processing, email communication, and phone etiquette to ensure clear and effective client interactions Support administrative functions including proofreading documents, managing multi-line phone systems, and maintaining clerical records Skills Proven experience in office management or administrative support roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and data entry tools Technical proficiency with office equipment such as multi-line phone systems, printers, and computers; strong computer literacy is essential Ability to communicate effectively via phone and in person; bilingual skills are a plus for diverse workplaces Excellent time management skills to prioritize tasks efficiently in a fast-paced environment Customer service orientation with professional phone etiquette and client communication skills Experience with QuickBooks accounting software for financial transactions and record keeping Strong attention to detail for proofreading documents and maintaining accurate records Personal assistant experience or previous front desk responsibilities preferred but not required
