Position Summary The Office Manager provides day-to-day leadership and operational oversight of both clinical and front office teams at our Harmar Office location. This role partners closely with the Regional Operations Manager to support efficient workflows, staffing, employee training and development, accountability, communication, and a positive patient and employee experience. The Office Manager is a working role and supports daily operational front office and clinical oversight, and helps ensure practice policies and standards are consistently followed. Responsibilities may be modified based on the operational needs of Three Rivers Endodontics. Essential Duties & Responsibilities Office & Team Leadership Provide daily onsite leadership and oversight of clinical and front office operations at our Harmar location. Maintain awareness of staffing, patient schedules, workflow needs, and operational concerns. Promote professionalism, teamwork, accountability, and respectful communication. Ensure established practice policies, procedures, and workflows are consistently followed. Serve as a resource for employees and escalate significant concerns to the Practice Manager as appropriate. Facilitate communication and collaboration between the clinical and front office teams. Clinical & Front Office Oversight Oversee daily clinical workflows, including room readiness, sterilization, clinical support, and appropriate staffing. Monitor front office workflows, including scheduling, patient check-in/check-out, documentation, referrals, insurance information, telephone coverage, and patient service. Provide hands-on support to front desk operations as needed, including assisting with patient-facing and administrative responsibilities during periods of increased volume or staffing needs. Reinforce expectations for accuracy, efficiency, professionalism, and patient-centered service. Partner with Leads, Trainers, Revenue Cycle, Insurance, and other departments to address workflow or training needs. Assist with resolving operational and patient concerns and escalating issues when necessary. Training, Meetings & Employee Development Partner with the Regional Operations Manager to coordinate and facilitate team meetings, employee training, and development initiatives. Support onboarding and integration of new employees into the Harmar office. Provide real-time coaching and feedback regarding performance, workflow, communication, and professional expectations. Identify additional training or development needs and communicate them to the Regional Operations Manager Follow up on meeting and training action items to ensure expectations are implemented consistently. Partner with the Regional Operations Manager and Leadership regarding performance or employee relations concerns when appropriate. Clinical Ordering & Inventory
  • with Clinical Lead Oversee supply ordering and inventory for the office.
Maintain appropriate inventory levels while minimizing unnecessary ordering and waste. Address shortages, discrepancies, backorders, damaged products, and other ordering concerns. Maintain organized supply areas and monitor expiration dates and inventory rotation. Partner with the Regional Operations Manager and Central Support regarding significant purchases, vendor concerns, and opportunities for cost savings. Staffing & Daily Operations Monitor daily staffing and assist with coordinating coverage for call-offs, scheduled time off, and training. Support attendance and punctuality expectations and communicate recurring concerns to leadership Assist with adjusting workflows based on patient volume, provider schedules, and staffing needs. Help maintain an organized, professional, safe, and patient-ready office environment. Support compliance with HIPAA, OSHA, infection control, workplace safety, and other applicable practice requirements. Qualifications High school diploma or equivalent required; associate degree in healthcare administration, business, management, or related field preferred. Previous supervisory, Lead, or management experience required. Previous dental experience strongly preferred. Dental assisting experience and current DANB Radiation Health and Safety (RHS) certification preferred. Experience supporting both administrative/front office and clinical operations preferred. Experience with supply ordering, inventory management, or vendor coordination preferred. Strong leadership, communication, organizational, and problem-solving skills. Ability to coach employees, address concerns professionally, and maintain appropriate confidentiality. Strong attention to detail with the ability to manage multiple priorities. Willingness and ability to travel to any Three Rivers Endodontics office location as operational, staffing, training, or business needs require.
Pay:
$55,000.00
